Job summary

NEW AGE SOFTWARE SOLUTIONS INC in Parañaque, Philippines, is seeking an experienced Freight Forwarding Specialist to manage USA ocean export shipments (LCL and FCL) and ensure accurate AES/EEI filing, HBL/MBL handling, and adherence to Incoterms.

You will contact shippers, arrange pickups, book truckers, monitor shipments through milestones and cut-offs, review documents in CargoWise1, and coordinate with overseas agents to keep customers informed and shipments on schedule.

Qualifications

• Experience in freight forwarding, preferably USA ocean export.
• Experience handling LCL and FCL shipments.
• Working knowledge of CargoWise1.
• Knowledge of AES/EEI filing, Incoterms, HBL/MBL, shipping documents, and export procedures.
• Good communication and coordination skills.
• Detail-oriented and able to work with deadlines.
• Able to handle multiple shipments and follow up on pending tasks.
• Good problem-solving skills and ability to work independently.

Responsibilities

• Handle USA ocean export shipments, both LCL and FCL.
• Contact shippers to confirm cargo details, readiness date, pickup details, shipping instructions, and required documents.
• Arrange cargo pickup based on the applicable Incoterms and shipment requirements.
• Book and coordinate with truckers, co-loaders / shipping lines for cargo pickup, container release, receiving, loading, gate-in, and vessel departure.
• Monitor LCL and FCL shipments and ensure all required milestones and cut-offs are met.
• Review Commercial Invoice, Packing List, SLI, booking confirmation, and other shipping documents for accuracy and completeness.
• Update the Export Declaration in CargoWise1 for AES/EEI filing and monitor the filing status and ITN.
• Prepare and submit Shipping Instructions (SI) to co-loaders / shipping lines, review HBL/MBL drafts, and coordinate any required corrections or amendments.
• Update shipment details, milestones, documents, and notes in CargoWise1.
• Monitor vessel schedules and communicate departures, rollovers, delays, cut-off changes, and other shipment issues to customers and overseas agents.
• Prepare and send pre-alerts to overseas agents after vessel departure.
• Follow up on pending shipment requirements and documentation with shippers, customers, and overseas agents.
• Monitor shipments through arrival and final delivery, including DAP shipments, and coordinate with overseas agents and customers on delivery status.
• Process billing and shipment charges in CargoWise1 and check vendor invoices for accuracy.
• Ensure all shipment files and documents in CargoWise1 are complete and properly updated.
• Follow company SOPs and customer-specific requirements.
• Respond to customer and agent inquiries and coordinate timely resolution of shipment-related issues.
• Manage multiple shipments and ensure all required tasks are completed within the cut-off and sailing schedule.
