Objective:
- Support the delivery of a smooth and responsive workplace experience, while providing reliable HR operations support across the employee lifecycle.
Job Duties:
A. Workplace Support
Vendor and Facilities Coordination
- Coordinate day-to-day vendor services for office facilities, including cleaning, plant maintenance, equipment servicing, pantry supplies, printing/namecards and other workplace services.
- Arrange preventive maintenance for office equipment and facilities, and monitor service quality, turnaround time and outstanding workplace requests.
- Assist with sourcing quotations, preparing vendor onboarding requests and supporting service contract renewal or re-negotiation exercises.
- Liaise with the building management on facilities-related matters, including scheduled maintenance works, fire drills, access arrangements, building notices, compliance requirements and other tenancy-related operational matters.
Workplace Budget and Procurement
- Administer purchase requisitions, purchase orders (PO) and goods receipt processes for all Admin and HR-related purchases, ensuring accurate and timely updates for payment processing.
- Maintain the workplace budget tracker and flag exceptions to support budget monitoring.
Office Operations and Employee Support
- Maintain accurate workplace records, files and trackers to ensure information is organised, current and readily accessible to HR and relevant stakeholders.
- Assist employees with workplace-related requests and provide helpful, service-oriented support in daily office matters.
- Support business travel administration by processing purchase orders for employee travel bookings and arranging business travel insurance where required.
- Support employee-related workplace listings and routine submissions, including staff list updates for loyalty privileges, union, insurance or other relevant service providers.
- Order of get-well baskets, wreaths and birthday points credits.
B. HR Support
Onboarding and Offboarding Administration
- Coordinate onboarding administration for new hires and support offboarding administration for leavers.
- Ensure employee movement updates are reflected in relevant workplace or HR trackers and communicated to relevant parties promptly.
Employee Engagement and Culture Activities
- Provide logistical and administrative support for employee engagement events, townhalls, festive celebrations, wellness activities, culture initiatives and other HR-led programmes.
- Coordinate event requirements such as venue setup, catering, supplies, internal communications, attendance tracking, feedback collection and post-event follow-up.
HR Administration Support
- Submit work pass application, renewals and cancellations.
- Provide administrative support for learning activities, including training enrolment coordination, calendar invites, venue or platform arrangements, attendance tracking and training record updates in designated systems and shared repositories.
- Assist in collating training feedback, certificates, invoices and supporting documents for internal filing, payment or reporting purposes.
- Follow up with employees, managers or training providers on learning administration matters to ensure timely completion and accurate records.
Requirements:
Education
- Diploma in Business Administration, Human Resources or a related discipline.
Experience
- Minimum 1 to 3 years of relevant experience in workplace administration, HR operations, employee engagement support or learning administration.
- Experience managing vendors, purchase orders, office services, onboarding or offboarding arrangements, employee activities or training administration will be advantageous.
- Prior exposure to budgeting, cost tracking, or employee lifecycle administration will be useful.
Skills
- Good coordination, follow-up and administrative skills, with the ability to manage multiple routine tasks accurately.
- Proficient in Microsoft Office, especially Excel, Outlook and PowerPoint.
- Able to maintain clear records, prepare simple reports and communicate updates in a concise and timely manner.
- Good vendor coordination, event logistics, learning administration and stakeholder communication skills.
