The Qualifications We Seek
- At least 3 years of proven experience as an Executive Assistant supporting a Chief Technology Officer (CTO), Chief Information Officer (CIO), Chief AI Officer, or equivalent senior technology executive
- Experience supporting client services and operations executives
- Demonstrated experience in project management
- Excellent organizational, analytical, and time-management skills
- Advanced proficiency in Microsoft Word, Excel, SharePoint, Outlook, and PowerPoint
- Excellent written and verbal communication skills
- Ability to work autonomously, manage competing priorities, and meet deadlines
- Ability to collaborate effectively with personnel at all levels of the organization
- Flexibility to adjust work hours based on business and executive requirements
Your Daily Tasks
Administrative
- Serve as the primary point of contact among executives, clients, and internal and external partners
- Prepare meeting materials, record minutes, track action items, and draft or revise correspondence and other documents
- Receive and sort daily mail, file appropriate documents, and address pending items accordingly
- Plan and organize company-wide events
- Coordinate with vendors and key contacts to secure necessary items and services
- Manage office administration and operations within an entrepreneurial environment
- Support special projects; prepare complex documents, reports, and presentations; gather information for meetings; draft correspondence; maintain contact lists; arrange travel; and complete expense and mileage reports
Communication and Correspondence
- Receive and screen executive communications, including telephone calls and mail, and use sound judgment to prioritize matters that require immediate attention
- Research and respond to communications as appropriate
- Format information for internal and external communications, including memos, emails, presentations, and reports
- Serve as a liaison between the Executive and key stakeholders to strengthen communication, credibility, trust, and organizational alignment
- Provide end-to-end communications support to the Executive
- Conceptualize, create, and implement strategic communication plans for the organization
- Collaborate with the Marketing Department to create content for Emapta's communication platforms
Travel and Calendar Management
- Build, organize, and manage executive meeting schedules
- Coordinate meetings, attendee notifications, and logistical requirements
- Format information for internal and external communications, including memos, emails, presentations, and reports
- Arrange travel, including flights, transportation, and accommodationsMaintain executive diaries and schedules
Reporting
- Evaluate the effectiveness of implemented strategies and recommend future initiatives
- Prepare reports as requested by the Executive
- Maintain efficient and organized filing systems and other pertinent information for the Executive
Representation and Liaison
- Serve as a liaison and provide support to the Board of Directors
- Coordinate Board meetings and event logistics, including schedules, agendas, presentation materials, distribution requirements, and meeting minutes on behalf of the Board Secretary
- Ensure compliance with applicable rules and bylaws concerning Board matters
- Prepare the Executive for public and organization-wide speaking engagements, conferences, and industry events
- Represent the Executive at events when required while upholding the company's image and values
- Provide event management support as requested
Project Coordination and Management
- Perform special projects and other duties as assigned
- Prioritize and manage multiple projects simultaneously
- Ensure projects meet agreed timelines, scope, and budget
- Identify and allocate project resources and coordinate with department heads to secure required personnel, tools, and materials
- Maintain comprehensive project documentation, including plans, progress reports, and post-project evaluations
- Prepare detailed reports for the Executive on project status, challenges, and outcomes
- Identify potential risks, develop mitigation strategies, and address issues proactively throughout the project lifecycle
- Evaluate project management processes and implement improvements to strengthen efficiency and effectiveness
- Share best practices and lessons learned with the team
- Prepare and present executive briefings on project progress, key developments, and strategic insights
- Provide recommendations to support executive decision-making and next steps
Confidentiality
- Maintain strict confidentiality of highly sensitive business and personal information
Other Responsibilities
- Perform administrative or non-administrative duties assigned by authorized Company representatives through written or verbal instruction
