The Qualifications We Seek
- Bachelor's degree in Hospitality Management, Business Administration, Tourism, Logistics, or a related discipline
- At least 1 year of relevant experience in facilities administration, office coordination, logistics, travel management, or a related field
- Experience booking transportation through Transportify, Grab, Lalamove, W Express, LBC, and other logistics or freight-forwarding providers
- Experience coordinating flights, hotels, transportation, and other travel arrangements for clients and team members
- Proficiency in Microsoft Excel for tracking, reporting, and data management
- Strong administrative coordination and organizational skills
- Excellent English communication skills, both written and verbal
- Professional, approachable, and service-oriented demeanor
- Flexibility in responding to changing priorities and operational requirements
- Accountability for delivering accurate, timely, and high-quality work
- Sound judgment and the ability to make decisions within the role's assigned authority
- Strong integrity, ethical judgment, financial responsibility, and adherence to company policies
- Commitment to maintaining confidentiality, protecting sensitive information, and complying with data privacy requirements
- Ability to work independently and escalate decisions that may significantly affect program outcomes, timelines, or management requirements
Your Daily Tasks
Front Desk Management
- Track and maintain visitor access records while observing established security and safety protocols
- Monitor the main entrance and lobby, welcome guests, direct visitors, and notify employees of their arrival
- Issue authorized visitor access passes when necessary
- Respond to inquiries received through telephone, chat, and other communication channels
- Refer inquiries to the appropriate departments or employees
- Maintain the safety, cleanliness, and professional appearance of the reception area and office facilities
- Address facilities- and administration-related concerns raised by clients and employees
Facilities Coordination and Management
- Maintain inventories of office furniture, equipment, and pantry supplies
- Monitor stock levels, anticipate supply needs, initiate purchase requests, expedite orders, and verify received items
- Organize conference and meeting room reservations
- Coordinate room setups, including food, beverages, IT equipment, and Wi-Fi or network requirements
- Liaise with Customer Experience Managers, HR Business Partners, utility and maintenance personnel, and building administrators
- Support local and remote facility movements and workspace setups in coordination with relevant stakeholders
- Maintain current knowledge of seating plans and coordinate seating arrangements with IT and business partners
- Guide utility and maintenance personnel in resolving incidents involving office premises and facilities
- Implement Emapta health and safety protocols consistently
- Maintain the requirements and procedures necessary for the facility's Safety Seal Certification from the local government unit
Administrative Support
- Establish and maintain an organized filing system for the department and assigned site
- Provide administrative support to the cluster Facilities and Administration Team Leader, Customer Experience Managers, and HR Business Partners
- Prepare and submit accurate petty cash, gift certificate, office supply request, inventory, and stakeholder-required reports
- Complete reports according to established weekly or monthly schedules
- Consolidate and submit monthly Facilities and Administration Monitoring Reports covering client requests received through different channels
Logistics and Asset Management
- Coordinate the site-level dispatch, delivery, replacement, and recovery of company assets and IT equipment
- Follow established policies, processes, protocols, budgets, and service-level agreements for asset dispatch and recovery
- Record and monitor asset and equipment recovery requests across assigned Emapta sites
- Maintain accurate and updated information in standard asset dispatch and recovery trackers
- Communicate with fellow Facilities and Administration Associates, Recruitment, IT, and other relevant teams
- Verify delivery and recovery details, including employee pin locations, estimated departure and arrival times, contact numbers, email addresses, and other required information
- Submit timely weekly reports covering dispatches, recoveries, replacements, additional equipment, and related costs
- Coordinate with accredited logistics and freight-forwarding providers to ensure safe, reliable, and timely deliveries and recoveries
- Work with site utility personnel to inspect and securely package company assets and IT equipment before dispatch
Risk Management
- Assist in identifying workplace risks and hazards
- Report safety concerns, imminent threats, or potential dangers promptly to the immediate manager or site security
- Support the implementation of organizational risk management processes
- Promote compliance with workplace health and safety requirements
Vendor Management
- Liaise with utility and maintenance personnel, building administrators, contractors, and external suppliers
- Coordinate facilities-related activities with building personnel and service providers
- Monitor vendor performance and compliance with established business requirements
- Schedule facility maintenance, repairs, pest control, carpet cleaning, routine sanitation, and deep-cleaning services
- Communicate scheduled facilities activities promptly to affected stakeholders
- Assist in procuring vendors, supplies, and services as required
- Monitor expenses and ensure compliance with the department's approved budget
- Manage facilities-related costs efficiently
Other Responsibilities
- Perform other administrative or operational duties assigned by authorized company representatives through written or verbal instructions
