Job Title: Executive Assistant (Event Management)
Location: Ortigas, Pasig, PH
Work Schedule: Monday to Friday, Onsite
We are looking for a highly organised, proactive, and personable Executive Assistant to provide direct support to multiple Directors and help coordinate key business activities, events, client visits, and administrative requirements.
This role is ideal for someone who enjoys working in a fast-paced environment, is comfortable dealing with senior leaders and international clients, and can confidently manage multiple priorities from planning through execution.
As the Executive Assistant to the Directors, you will provide high-level administrative and coordination support across the leadership team. You will play an important role in ensuring that internal events, client visits, meetings, travel arrangements, and day-to-day executive requirements are well planned and professionally executed.
You will also have the opportunity to take ownership of special projects and other business initiatives as required.
Provide administrative and coordination support to multiple Directors.
Manage schedules, meetings, appointments, and other executive requirements.
Prepare meeting materials, presentations, reports, correspondence, and other documents if needed.
Coordinate follow-ups, action items, and deadlines on behalf of the Directors.
Handle confidential and sensitive information with discretion and professionalism.
Assist with general office and executive administration as required.
Plan and coordinate company events, leadership activities, client events, celebrations, and corporate functions.
Coordinate venues, suppliers, catering, entertainment, transportation, invitations, and event requirements.
Manage event timelines, budgets, logistics, and supplier coordination.
Be hands-on during events to ensure smooth execution from set-up through completion.
Support post-event reconciliation, documentation, and feedback.
Coordinate visits of Australian and international clients to the Philippines.
Arrange airport transfers, hotel accommodations, transportation, meeting rooms, meals, and client activities.
Prepare detailed client visit itineraries and ensure all logistics are confirmed in advance.
Coordinate with internal teams to ensure clients receive a professional and seamless experience.
Liaise confidently with Australian clients, suppliers, hotels, transport providers, and other external partners.
Coordinate travel and accommodation arrangements for Directors, clients, and visitors.
Manage bookings, schedules, transportation, meeting venues, and other logistical requirements.
Maintain organised records of bookings, suppliers, quotations, invoices, and event-related documents.
Anticipate potential issues and proactively put contingency plans in place.
Assist the Directors with ad hoc projects and business initiatives.
Take ownership of assigned projects and drive them through to completion.
Conduct research, prepare presentations, coordinate suppliers, and gather information as required.
Support internal communications and other company-wide initiatives.
Be flexible and willing to take on responsibilities outside the traditional EA scope when business priorities require it.
Bachelor’s degree in Business Administration, Management, Communications, Hospitality, or a related field is preferred.
2-3+ years of experience in an Executive Assistant, Executive Coordinator, Office Manager, Events, or similar role.
Previous experience supporting C-suite executives, Directors, or senior leadership is highly preferred.
Experience working with Australian / US clients or businesses is an advantage.
Experience in a BPO, corporate services, hospitality, events, or professional services environment is preferred.
Strong experience in event coordination, travel arrangements, logistics, and stakeholder management.
Excellent written and verbal English communication skills.
Strong proficiency in Microsoft Office / Google Workspace and other productivity tools.
