Job Summary
The Executive Assistant to the General Manager provides high-level administrative support, acting as a liaison between the president, staff, and external partners. Key responsibilities include managing complex calendars, arranging travel, preparing confidential briefings/documents, and handling correspondence. The role requires exceptional organizational, communication, and problem‑solving skills.
Duties and Responsibilities
- 1. Calendar & Travel Management: Proactively manage the General Manager’s schedule, book flights, and arrange logistics for meetings and conferences.
- 2. Email Management: Prioritize meetings, screen and respond to emails, and manage the executive’s communications.
- 3. Communication Liaison: Serve as primary point of contact—handle emails, phone calls, and draft correspondence on behalf of the General Manager.
- 4. Admin & Document Preparation: Create, format, proofread presentations, reports, and meeting agendas; assist in office administration, schedule meetings, file legal documents, and sign required paperwork.
- 5. Confidentiality & Discretion: Handle sensitive company, financial, and personnel information with high confidentiality.
- 6. Meeting Support: Organize board or executive meetings, take minutes, and track action items.
- 7. Special Projects: Conduct research and manage special assignments to support strategic initiatives.
- 8. Support to Other Departments: Provide additional support to other departments as required; handle other office duties and personal matters as assigned by the principal.
- 9. Back‑Up: Serve as back‑up to the Executive Assistant when the General Manager is absent.
- 10. Team Leadership & Management: Foster trust, open communication, creative thinking, and teamwork; coach, counsel, and mentor employees; manage individual and team performance.
- 11. Other Tasks: Perform other tasks that may be required by the General Manager or Management.
- 12. Relationship Management (Internal and External): Build and maintain harmonious relationships across all levels and with business partners.
- 13. Data Integrity and Management: Ensure all administrative and employee records and archives maintain data integrity.
