ClearSource is seeking an Executive Assistant to manage the CEO's calendar and inbox with precision, prep meetings, and handle sensitive matters with discretion. In this role, you will manage the CEO's calendar and inbox with precision, prepare and track every meeting and commitment to completion, and handle sensitive financial, legal, and personnel matters with total discretion. You'll screen and manage communications, coordinate travel from start to finish, and draft messages in the CEO's voice — freeing up significant time so he can focus on the few things only he can do. Your ability to stay calm under pressure and anticipate needs will be key to giving the CEO back valuable hours each week.
Protect the CEO's time and keep every commitment moving forward by managing an accurate calendar, a well-handled inbox, thoroughly prepped meetings, and tracked follow-up items.
Conduct a week-one time audit to identify where the CEO's time goes, and repeat this audit quarterly to track progress toward offloading 20 hours of his time per week within 90 days (10 hours by day 45).
Own and maintain an accurate calendar at least a week ahead, ensuring no double bookings and that every meeting is confirmed.
Triage the inbox daily, ensuring nothing urgent goes unanswered past the same business day.
Log every commitment made in meetings with a clear owner and due date, ensuring at least 95% are closed on time or flagged before they slip.
Prepare an agenda and a one-page background packet for every external meeting in advance, without needing to be asked.
Screen calls and messages, routing or handling them directly, and draft communications that are ready to send as-is.
Manage travel arrangements end-to-end, ensuring clean itineraries with zero missed reservations or connections.
Handle sensitive financial, legal, and personnel information with total discretion, always ensuring zero leaks.
Proven experience supporting a senior executive, C-level experience preferred.
Excellent judgment and discretion when handling confidential information.
Strong written communication skills, with the ability to draft messages in the CEO's voice.
Highly organized and detail-oriented, comfortable-owning outcomes rather than just tasks.
Calm under pressure, with the ability to anticipate needs before being asked.
