ClearSourceBPO is seeking an executive assistant to support the CEO in Pasig, Philippines. The role centers on protecting the CEO's time by maintaining an accurate calendar, triaging the inbox, and preparing well‑informed meetings with pre‑reads.
You will track commitments, arrange travel, and ensure follow-ups are completed, enabling the CEO to focus on high‑impact work while maintaining discretion and high communication standards.
Protect the CEO's time and keep every commitment moving forward. This means an accurate calendar, a handled inbox, well-prepped meetings, and every follow-up item tracked until it's done — so the CEO can spend his time on the few things only he can do.
1. Give the CEO back 20 hours a week
Within 90 days, 20 hours a week of the CEO's time move off his plate and onto yours (10 hours by day 45). This starts with a week-one audit of where his time actually goes, repeated every quarter. If the audit doesn't show it, it didn't happen.
2. Own the calendar and inbox
The calendar is accurate a week ahead, with no double bookings and every meeting confirmed. The inbox is triaged every day, and nothing urgent sits unanswered past the same business day.
3. Track every commitment to completion
Every commitment made in a meeting is logged with an owner and a due date. At least 95% are closed on time or flagged before they slip.
4. Prepare every meeting in advance
Before every external meeting, the CEO has an agenda and a one-page background packet in hand — without needing to ask.
5. Screen and handle communication
Calls and messages are screened, routed, or handled directly. Any drafts you write are ready to send as-is.
6. Manage travel from start to finish
Trips are booked end-to-end with a clean itinerary. Zero missed reservations or connections on our side.
7. Handle sensitive information with total discretion
Financial, legal, and personnel matters are handled with zero leaks — every time.
Proven experience supporting a senior executive (C-level preferred)
Excellent judgment and discretion with confidential information
Strong written communication — able to draft messages in the CEO's voice
Highly organized, detail-oriented, and comfortable owning outcomes, not just tasks
Calm under pressure and able to anticipate needs before being asked
