The Executive Assistant (EA) will provide high-level administrative, operational, and strategic support to the Managing Partner/Director. The EA ensures smooth day-to-day operations by managing schedules, handling communications, coordinating projects, and supporting decision-making. This role requires excellent organizational skills, discretion, adaptability, and the ability to anticipate the executive’s needs across multiple businesses.
Responsibilities
Administrative & Organizational Support
- Manage executive’s calendar, appointments, meetings, and travel arrangements.
- Screen, prioritize, and respond to emails, calls, and messages on behalf of the executive.
- Draft, review, and organize correspondence, reports, contracts, and presentations.
- Maintain digital and physical filing systems, ensuring accessibility and confidentiality.
Business & Project Support
- Assist in overseeing projects across multiple ventures (restaurant operations, real estate, marketing, events, etc.).
- Prepare reports, research, proposals, and presentations as required.
- Track deadlines, deliverables, and KPIs to ensure smooth project execution.
- Liaise with internal teams, business partners, and external stakeholders.
Operations & Coordination
- Handle day-to-day operational tasks such as expense tracking, vendor coordination, and basic HR/admin tasks.
- Assist in managing staff schedules, communications, and reports.
- Support marketing and brand initiatives (social media coordination, content scheduling, supplier communications).
Personal Assistance
- Provide occasional personal support (errands, reservations, reminders) to allow the executive to focus on strategic priorities.
- Anticipate needs and proactively resolve issues before they escalate.
Experience
- Experience in hospitality, F&B, real estate, or creative industries is a plus.
Skills & Competencies
- Strong organizational and time-management skills; able to juggle multiple priorities.
- Excellent written and verbal communication (English and Filipino).
- Tech-savvy: proficient in Google Workspace (Docs, Sheets, Drive, Calendar), Microsoft Office, and project management tools (e.g., Notion, Trello, Asana).
- Social media management and basic design skills (Canva, CapCut) are an advantage.
- Analytical and resourceful; able to research and prepare reports independently.
- Discreet, trustworthy, and professional with sensitive information.
