Qualifications

Position Summary

The primary role of the EPgMO Specialist is to support the Head of EPgMO in the co-ordination, planning, control and reporting with regards to the progress status of assigned individual projects or sub-projects. The EPgMO Specialist will be involved in multiple projects and ensure that correct application of methodology and best practices defined by the EPgMO are applied during life cycle of the project.

Duties & Responsibilities
Project Coordination
  1. Work closely with the EPgMO Team to ensure projects are executed according to plan and meet all requirements.
  2. Support the project team by coordinating meetings, taking notes and following up on the important action items, agreements and decisions discussed during meetings. The Project Coordinator may be required to chair and facilitate meetings where appropriate and distribute minutes to all project team members or meeting participants.
  3. Communicate with internal and external stakeholders to identify, define and document project requirements.
  4. Help the EPgMO Team in tracking progress of specific deliverables vs schedule, and providing status updates.
  5. Help identify and resolve issues and risks that may impact project timelines or outcomes.
  6. Determine project risks and present solutions where applicable.
  7. Provide close supervision and monitoring on assigned workstream and critical milestones (e.g. marketing, procurement and inventory, development milestones, etc.) that can be managed independently while ensuring these targets remain aligned and dependencies are consistently assessed and monitored against other project deliverables.
  8. Manage sub-projects where applicable and ensure projects objectives are successfully met.
  9. Build database of information and project records that are critical to the project such as but not limited to operators, devices and peripherals, materials needed to activate the devices, configuration items, etc. Gathering of project data and relevant information may also be done in collaboration with Functional Leads where the Project Coordinator is expected to ensure these are complete, accurate and delivered in a timely manner.
  10. Ensure project documentation is accurate, up-to-date, and readily available to all relevant parties.
Project Review
  1. Lead product review meetings to help determine existing product features for the purpose of determining the scope of product development, enhancements and defects that will be part of the project scope.
  2. Track and regularly review the ongoing product development. Such review shall include assessment of project health status in terms of timeliness, quality, scope, and spending.
  3. Facilitate product performance review and gather feedback from various internal and external stakeholders to continuously improve products/solutions, or features needed based on information gathered from recent implementation and deployments.
Project/Program Governance Coordination and Reporting
  1. Ensures that all projects/programs adhere to governance processes.
  2. Develop and implement performance management framework; monitor and report on all project KPIs including Cost, Schedule, Quality, Change, Risk and Safety.
  3. Monitor interdependences across projects, including liaising with Project Teams (stakeholders), department leads and ensuring the project management system integrates with, and delivers benefits, with all areas of the project.
  4. Drive communication between the project team & customers or customer-facing teams. Apply excellent verbal and written communication skills to interpret, liaise and report. Interact with other team members to facilitate the achievement of Group goals.
  5. Analyse project data and prepare appropriate reports and dashboards.

Education and Work Background
  • Bachelor’s degree in Information Technology, Computer Science or related field of study.
  • At least three (3) years of experience as Project Assistant, Project Coordinator or as Junior Project Manager preferred.
  • Experience in business analysis or systems analysis will be an advantage.
  • Exceptional verbal, written, and communication skills.
  • Ability to work effectively both independently and as part of a team.
  • Competency in Microsoft applications.
  • Knowledge of file management, transcription, and other administrative procedures.
  • Ability to work on tight deadlines.
