Job summary

Ubiquity is seeking a Places Supervisor to lead day-to-day facilities operations across our sites in Cagayan de Oro. You will manage inventory, coordinate cross‑department requests, and supervise facilities staff to ensure safe, clean, and compliant workplaces.

You’ll work with external contractors, handle budgeting and refurbishments, and adapt to shifting schedules to meet business needs. Strong English, customer service and organization are essential to deliver reliable service and maintain

Qualifications

• 3+ years in a customer-service oriented role
• Strong English communication (written and spoken)
• Experience with client-facing responsibilities
• Excellent organization, coordination and multitasking abilities
• Willing to work night shifts as needed
• Experience in high-volume administrative/production environments
• Experience dealing with contractors/skilled trades
• Ability to make day-to-day decisions and understand processes
• Experience with facilities across multiple sites is a plus
• Experience with BPO setups is a plus

Responsibilities

• Maintain tracker and inventory; document and process logs uploaded for centralized reporting.
• Coordinate requirements across procurement, sourcing, logistics, engagement assistance and document processing.
• Monitor and implement preventive maintenance of facilities and equipment; ensure safety standards and upgrades as needed.
• Ensure facilities are ready for employees daily; maintain cleanliness, safety, and building compliance; plan refurbishments.
• Delegate cleaning and maintenance tasks; run routine inspections; monitor budgets and timelines.
• Liaise with external contractors and vendors; support installation and repair work as needed.
• Other duties as assigned

What You’ll Do

• Ensuring all tracker and inventory are maintained . Documented and processed scanned logs uploaded by each of the assigned sites specialist and security for centralized reporting of inventory and monitoring of trackers, incident reports and safety monitoring or risk assessments.
  
• Communicates to each department’s various requirements (procurement, sourcing, logistics, engagement assistance and document requirement processing) and ensures its delivery per request per site.
  
• Monitoring and implementation or recommendation of all Places equipment and facilities preventive maintenance across assigned sites. Ensuring all needed standards are met, repaired and or upgrade as needed.
  
• Ensure that the facility is ready for all employee needs daily. All building facilities adhere to proper safety standards and cleaning procedures. Maintain equipment and building provisions to meet health and safety requirements. Organize and plan building installments and refurbishments. Supervise facilities staff and communicate with external contractors and vendors. Keep building and all facilities up to code and accurately follow maintenance protocol
  
• Delegate cleaning and maintenance responsibilities to team members. Run routine maintenance inspections. Monitor interior and exterior areas of buildings for cleanliness and general conservation. Prepare and implement project budgets and timeframes. Comply with all health and safety policies and procedures. Support maintenance and installment work as needed.
  
• Other duties as assigned

Qualifications

• At least three years’ work-related experience with a strong customer-service orientation.
• Has strong English communication skills (spoken and written).
• Has client-facing responsibilities in previous and/or current work.
• Has good organization, coordinating, and multi-tasking skills.
• Willing to report to a changing work shift based on business needs, including night shift.
• Experience with high volume administrative / production environments.
• Experience with dealing/managing contractors/skilled trades.
• Able to make / discern day to day decisions.
• Thorough knowledge of functional area and department processes.
• Experienced to handle customer calls, requests and deal with the resolutions and provide regular feedback until closure to stakeholders.
• Experience with multiple facilities or related industries is a plus.
• Experience with BPO setup is a plus.

Qualifications Education

• A graduate of any four-year course preferably degrees related to office and/or business administration. If not then equivalent of 5 years experience working as a Facilities Supervisor.

Skills/Knowledge/Abilities

• He/she possesses basic legal understanding of Facilities related compliance matters (such as PEZA, LGU, DOLE, OSH etc.). Have a well-developed communication and presentation skills. Must possess maturity as this person requires dealing with a diverse group of people and stakeholders. Have the patience, courtesy and discipline to work independently.
