Role Overview
Support the Customs Division in coordinating daily customs clearance activities for import and export shipments, including customs documentation, shipment monitoring, customs entry processing, clearance coordination, and related administrative tasks.
Work closely with the Customs Supervisor / Manager, customers, customs brokers, freight forwarders, shipping lines, airlines, truckers, warehouses, and internal departments to ensure customs requirements are properly fulfilled and shipments are cleared and delivered within the required timeline.
Key Responsibilities
Customs Documentation
- Receive, review, organize, and maintain import and export documentation.
- Check Commercial Invoices, Packing Lists, Bills of Lading / Air Waybills, permits, and other customs clearance documents for completeness and accuracy.
- Assist in preparing customs declarations, customs entries, and other required clearance documentation.
- Ensure customs documents are properly filed, maintained, and readily available for reference.
- Identify missing, inconsistent, or inaccurate information and follow up with the relevant parties for correction.
Shipment Monitoring & Customs Clearance
- Monitor incoming and outgoing shipments from pre-alert through customs clearance and final delivery.
- Track vessel and flight arrival schedules, shipment status, customs clearance progress, and cargo release.
- Follow up on pending shipments, missing documents, customs requirements, and clearance issues.
- Assist Customs Brokers / Declarants in processing customs entries and clearance requirements.
- Assist in checking tariff classification, customs valuation, duties, and taxes when required.
- Coordinate the submission of required documents and information for customs processing.
- Monitor shipment release and delivery after customs clearance.
- Provide timely shipment updates to customers and concerned internal teams.
Coordination & Customer Support
- Coordinate with the Bureau of Customs (BOC), customs brokers, shipping lines, airlines, truckers, warehouses, customers, freight forwarders, and other relevant service providers as instructed.
- Follow up with concerned parties regarding documentation discrepancies, missing information, payments, customs requirements, and shipment clearance status.
- Coordinate with internal departments such as Sales, Customer Service, Operations, Transport, Warehouse, and Finance to ensure smooth shipment execution.
- Escalate customs-related issues, delays, discrepancies, or potential risks to the Customs Supervisor / Manager in a timely manner.
- Support the team in resolving operational issues and ensuring customer requirements are properly followed up.
Data Management & System Updating
- Encode shipment and customs information accurately into the company's systems.
- Update shipment status, customs clearance progress, and relevant tracking records in a timely manner.
- Maintain accurate and traceable records of customs transactions and shipment activities.
- Assist in preparing customs-related reports, monitoring sheets, and shipment status updates.
- Ensure all relevant transactions and supporting documents are properly documented and traceable.
Billing & Expense Support
- Assist in checking customs-related charges, duties, taxes, brokerage payment, and other shipment-related expenses.
- Coordinate with Finance / Accounting regarding payment requirements and supporting documents.
- Assist in preparing documentation and liquidation records for customs-related expenses.
- Follow up on outstanding payments or supporting documents where required.
Compliance & Operational Control
- Follow company SOPs and applicable Philippine customs, import/export, and logistics regulations.
- Ensure customs and shipment documentation is handled accurately, confidentially, and in accordance with company requirements.
- Immediately report documentation errors, discrepancies, or potential compliance issues to the supervisor.
- Keep updated on relevant customs procedures, regulatory requirements, and company policies.
- Monitor assigned shipments and ensure required follow-up actions are completed within the required timeline.
- Identify potential operational or compliance risks and highlight them to the supervisor.
Process Improvement & Team Support
- Maintain a proactive approach in following up outstanding customs and shipment matters instead of waiting for instructions.
- Support the Customs team in improving documentation, tracking, filing, and clearance workflows.
- Challenge existing practices and suggest practical improvements where appropriate.
- Maintain organized physical and electronic customs files.
- Prepare daily / weekly shipment monitoring reports when required.
- Work closely with the Customs Supervisor / Manager and other team members to achieve department objectives.
- Take ownership of assigned responsibilities and ensure tasks are completed accurately and on time.
- Participate in training and development activities to build knowledge in customs clearance and logistics operations.
- Be willing to take on additional responsibilities as knowledge and experience develop.
Requirements
- Bachelor's Degree in Customs Administration, Logistics, Supply Chain Management, Business Administration, or a related field.
- Candidates with relevant customs, freight forwarding, import/export, or logistics experience are welcome to apply.
- Knowledge of Philippine customs clearance procedures and import/export documentation is preferred.
- Experience in customs brokerage, freight forwarding, or import/export operations is an advantage.
- Proficient in Microsoft Office, particularly Excel, Word, and Outlook.
- Good command of English, both written and spoken. Filipino / Tagalog communication skills are required.
- Strong attention to detail and accuracy in documentation.
