Private Advertiser is seeking an Import/Logistics Specialist to oversee end-to-end import processes from overseas suppliers to the company. You will manage documentation, customs clearance, shipment coordination, and regulatory compliance while collaborating with suppliers, freight forwarders, brokers, and internal teams.
The role requires knowledge of Incoterms, trade rules, and import docs, with attention to detail and strong communication.
Summary
Responsible for managing the full import process, ensuring timely, compliant, and cost-effective movement of goods from overseas suppliers to the company. Handles documentation, customs clearance, shipment coordination, and compliance with all trade regulations, while working closely with suppliers, freight forwarders, customs brokers, and internal teams.
Prepare, check, and process all import documents: commercial invoices, packing lists, bills of lading/air waybills, contracts, certificates of origin, permits, licenses, and customs declarations.
Ensure all documents are accurate, complete, consistent, and meet legal and customs requirements; maintain proper filing and record-keeping for at least the required period.
Verify HS codes, tariff classifications, product descriptions, and values to avoid errors or penalties.
Coordinate with overseas suppliers, freight forwarders, shipping lines, airlines, and transport providers to arrange pickup, shipping, and delivery.
Track shipment status from origin to arrival, monitor transit time, and update internal teams (procurement, warehouse, finance) on progress.
Arrange insurance coverage and handle loss/damage claims if needed.
Manage different modes: sea freight (FCL/LCL), air freight, road/rail, and handle cross-border movements.
Ensure full compliance with local laws, international trade rules, Incoterms, and government regulations.
Work with customs brokers to complete clearance, pay duties/taxes, and resolve queries, inspections, or holds.
Stay updated on changes in import regulations, tariffs, restrictions, or trade policies.
Ensure imported goods meet safety, quality, and regulatory standards; handle special permits for restricted/regulated items.
Reconcile shipping costs, invoices, and duty payments; assist finance with payment processing and cost verification.
Resolve discrepancies: quantity, quality, documentation errors, delivery delays, or damage issues.
Generate regular reports: shipment status, cost summary, compliance status, and import activity records.
Support procurement and warehouse teams on stock arrival, lead times, and inventory planning.
Help improve import procedures, reduce costs, and shorten lead times.
Bachelor’s degree in Logistics, Supply Chain, Business, International Trade, or related field preferred.
Understanding of import/export procedures, customs rules, Incoterms, and international trade practices.
Familiar with common import documents and customs systems/platforms.
Basic knowledge of tariffs, taxes, and trade compliance.
Strong attention to detail and accuracy; organized and methodical work style.
Good communication and coordination skills (internal + external parties).
Problem-solving and ability to handle pressure and urgent situations.
Computer literate: MS Office, Excel, logistics software, or ERP systems.
English proficiency (written & spoken) for international communication.
