VA Masters is seeking a GoHighLevel Automation and CRM Systems Specialist to build, optimize, and maintain our GoHighLevel backend. This hands-on role focuses on workflows, automations, funnels, integrations, and AI bot configuration—not customer conversations.
You will transform a partially configured account into a clean, reliable, fully automated system, working directly with decision-makers to scale the operation and ensure robust CRM processes across the customer journey.
Job Summary:
We're ready to welcome a GoHighLevel Automation and CRM Systems Specialist to build, optimize, and maintain the backend of our GoHighLevel CRM. This is a technical, behind-the-scenes role focused on workflows, automations, funnels, integrations, and AI bot configuration — not on managing conversations with customers. The ideal candidate is a hands‑on GoHighLevel builder who can take a partially configured account and turn it into a clean, reliable, fully automated system.
Key Responsibilities:
Build and optimize end-to-end GoHighLevel workflows and automations across the customer journey
Configure automated email and SMS sequences triggered by booking events, including intake forms and privacy/consent documents
Create and maintain reusable email, SMS, and form templates within the CRM
Diagnose and resolve email deliverability issues, including domain authentication, sender reputation, and spam‑folder and unsafe‑link warnings
Configure and optimize GoHighLevel AI/conversation bots so that automated sequences continue intelligently after a lead replies, instead of dropping out of the flow
Integrate lead sources such as Facebook/Meta Ads, website forms, and social platforms directly into the CRM pipeline
Build and structure CRM pipelines, stages, tags, and lead routing from the ground up
Design and build funnels and landing pages, and integrate them with the existing website
Connect third‑party scheduling software to the CRM using available integrations, webhooks, APIs, or automation platforms where no native integration exists
Audit the existing account setup, identify unused or misconfigured features, and recommend improvements
Document systems and workflows so they can be maintained and handed over
Mandatory Skills:
Proven hands‑on experience building inside GoHighLevel (workflows, automations, pipelines, funnels, calendars, forms)
Strong understanding of CRM architecture: pipelines, stages, tags, triggers, and lead routing logic
Experience building automated email and SMS sequences from scratch
Working knowledge of email deliverability fundamentals (domain authentication, DNS records, spam and link‑safety troubleshooting)
Experience integrating third‑party tools using native integrations, webhooks, APIs, or platforms such as Zapier or Make
Experience connecting paid ad platforms (Facebook/Meta) to a CRM for lead capture
Ability to configure AI chatbots or conversation AI within a CRM environment
Comfortable handling confidential customer information with discretion
Reliable, detail‑oriented, and able to work independently with minimal supervision
Strong communication skills, with the ability to explain technical decisions clearly to a non‑technical stakeholder
Preferred Skills:
Experience setting up GoHighLevel sub‑accounts under an agency account
Familiarity with appointment‑based or clinic‑based service businesses and their booking, intake, and consent workflows
Experience with scheduling platforms such as Amelia, Calendly, Acuity, or similar
Basic web skills (HTML/CSS, embed codes, DNS management)
Experience creating SOPs, loom walkthroughs, or written documentation for systems you build
Ability to manage multiple builds and priorities simultaneously
A proactive, consultative approach — spotting opportunities the stakeholder hasn't asked for yet
Why Join Us:
This is a high‑ownership role where you'll be the person who designs and builds the systems the whole operation runs on. You'll work directly with a decision‑maker who values your expertise and will give you the autonomy to make the right technical calls. As the systems mature, there's real room for the role to grow in scope and responsibility.
