We are looking for an organized and proactive Coordinator – Polyclinic Operations to manage and coordinate the day-to-day operations of the polyclinic. The role will ensure smooth patient flow, effective coordination between doctors and support staff, timely availability of services, and a positive patient experience.
The ideal candidate should have strong coordination, communication, administrative, and problem-solving skills, with the ability to manage multiple operational activities in a healthcare environment.
Coordinate the day-to-day functioning of the polyclinic and ensure smooth operations.
Ensure proper opening, closing, and operational readiness of the facility.
Coordinate with doctors, nurses, reception, diagnostics, pharmacy, housekeeping, and other support teams.
Ensure availability of required equipment, supplies, forms, and other operational resources.
Monitor overall cleanliness, hygiene, ambience, and facility readiness.
Ensure smooth patient registration, appointment scheduling, consultation, billing, diagnostics, and follow-up processes.
Monitor patient movement and minimize waiting time.
Assist patients and attendants with their queries and coordinate resolution of concerns.
Ensure proper communication regarding appointments, doctor availability, reports, and follow-ups.
Handle patient feedback and escalating complaints to the appropriate authority.
Coordinate doctor schedules, OPD timings, appointments, and availability.
Ensure consultants and clinical staff receive the required support for smooth consultations.
Coordinate with staff for duty rosters, leave requirements, and operational coverage.
Monitor staff attendance, punctuality, and adherence to assigned responsibilities.
Support the Centre Head/Operations Manager in maintaining discipline and operational standards.
Maintain daily operational records and reports.
Monitor appointment schedules, patient footfall, consultation numbers, and other relevant operational data.
Coordinate with billing and front-office teams to ensure accurate and timely processes.
Maintain records of consumables, stationery, and other operational requirements.
Raise and follow up on maintenance, IT, housekeeping, security, and facility-related issues.
Ensure adherence to hospital policies, SOPs, infection-control guidelines, and patient-safety standards.
Support implementation of quality standards across the polyclinic.
Maintain confidentiality of patient information and medical records.
Assist in internal audits, inspections, quality checks, and compliance activities.
Ensure proper documentation and timely reporting of operational incidents.
Support the Centre Head/Operations Manager in achieving patient footfall, revenue, service utilization, and operational targets.
Monitor daily performance and identify areas for improvement.
Coordinate promotional camps, health check‑up programs, awareness activities, and other centre initiatives.
Support coordination with corporate clients, referral partners, and local stakeholders where required.
Graduate in Any Stream.
Bachelor's degree in Healthcare Management, Hospital Administration, Business Administration, or a related field will be preferred.
Good working knowledge of MS Office, Excel, email, and basic hospital/clinic software.
Strong communication and interpersonal skills.
2–5 years of experience in hospital, clinic, polyclinic, diagnostic centre, healthcare operations, or a similar environment.
Experience in front-office coordination, patient services, hospital administration, or clinic operations will be preferred.
Candidates with strong coordination and administrative skills from other service industries may also be considered.
