About the Role
We are looking for a hands-on Business Systems & Automation Developer to design, build and maintain the connected systems that support sales, estimating, operations and finance.
This is a delivery-focused role. You will be responsible for building working, documented and maintainable automations and integrations, replacing manual processes and outdated tools, and applying current AI technologies to improve efficiency and accuracy across the business.
The successful candidate will be expected to stay current with emerging automation and AI capabilities and proactively identify opportunities to deliver measurable business improvements.
Key Responsibilities
Integration & Automation
- Design, build, test and maintain Make.com scenarios connecting HubSpot, Xero, Microsoft 365, telephony and internal systems.
- Build and consume REST APIs and webhooks, including authentication, pagination, rate limiting and error handling.
- Replace manual data entry, re-keying and spreadsheet-based processes with reliable automated workflows.
- Implement error handling, retry logic, alerting and logging to ensure automation failures are identified and resolved.
- Maintain the automation environment through consistent naming conventions, organisation, version control, change logs and rollback processes.
HubSpot Administration & Development
- Manage HubSpot configuration, including properties, pipelines, association labels, workflows, permissions, integrations and data quality.
- Build and maintain reports and dashboards for sales, marketing and management.
- Perform data cleansing, deduplication, bulk updates and imports safely and accurately.
- Support CRM optimisation, including data structures, ownership rules, associations and record management.
- Develop using the HubSpot API where standard configuration does not meet business requirements.
AI & Business Automation
- Identify opportunities where AI can reduce administrative effort, improve accuracy, shorten lead times or create commercial value, and turn these opportunities into working solutions.
- Build and maintain AI-assisted tools for tasks such as document and enquiry extraction, data classification, drafting, summarisation and internal knowledge search.
- Work with large language model APIs, including prompt design, structured outputs, tool use, retrieval, evaluation and cost management.
- Stay current with developments in AI models, tools and platforms and assess their practical application to the business.
- Test and implement relevant AI capabilities through working proofs of concept rather than theoretical recommendations.
- Maintain a pipeline of potential AI and automation improvements, assessing effort, impact and business value.
- Apply appropriate AI safeguards, including human review, data protection and verification of outputs before they are used for customer-facing, commercial or compliance-sensitive activities.
Systems Replacement & Rationalisation
- Support the migration away from obsolete, duplicated or inefficient systems and processes.
- Document existing workflows and data structures before implementing changes.
- Map and migrate data between legacy and new systems accurately.
- Build internal tools and interfaces where suitable off-the-shelf solutions are not available.
Documentation & Governance
- Create and maintain SOPs and technical documentation for every process, automation or system developed or changed.
- Document the purpose, logic, data mapping, dependencies, credentials, limitations and maintenance requirements of bespoke solutions.
- Maintain a central systems register covering integrations, automations, tools, ownership and documentation.
- Keep documentation updated whenever systems or processes are changed.
- Maintain change logs and conduct appropriate testing before deploying changes to live systems.
- Follow agreed access, security, password and data protection standards.
- Ensure documentation is detailed enough for another competent technical professional to understand, maintain and take over the systems.
Qualifications and Requirements
Essential
- 3+ years' experience building business systems, integrations, automations or internal tools.
- Hands-on experience with Make.com, or equivalent experience with Zapier, n8n, Power Automate or Workato, with the ability and willingness to work primarily with Make.com.
- Strong knowledge of REST APIs, JSON, webhooks and OAuth authentication.
- Practical scripting experience using JavaScript or Python.
- Strong data skills, including SQL or equivalent, spreadsheet modelling, data mapping, cleansing and migration.
- Demonstrable, hands-on experience applying AI and large language models to real business processes, with examples of solutions built and their results.
- Current understanding of the AI landscape and the ability to assess and apply relevant new technologies.
- Ability to work independently with minimal supervision and collaborate effectively with non-technical stakeholders.
- Strong written and verbal English communication skills.
- Highly organised and disciplined when it comes to documentation, testing and delivery.
Desirable
- HubSpot administration or development experience, ideally across Sales Hub and Marketing Hub.
- HubSpot or Make.com certifications.
- Working knowledge of Microsoft 365 and SharePoint.
- Experience integrating Xero or other accounting systems.
- Experience in manufacturing, construction products or project-based B2B environments.
- Exposure to CAD, CAM or production planning systems.
- Front-end development skills for building simple internal tools and interfaces.
