Job Description
We are looking for a Customer Concern Specialist to serve as a key point of contact for customers who require assistance, issue resolution, or guidance regarding their account or services. This position is responsible for delivering exceptional customer experiences by utilizing strong communication skills, company systems and tools, and sound decision-making abilities to resolve concerns effectively.
Customer Concern Specialists are empowered to evaluate each situation carefully and provide thoughtful, solution-oriented support. This includes making informed decisions based on the customer’s needs, client’s policies, and current business practices, while always providing complete, accurate, and transparent information.

Specific Responsibilities
Customer Interaction & Support
- Communicate directly with customers to assist with issues, concerns, or questions related to their accounts or services, providing clear and effective solutions whenever possible.
- Deliver courteous, friendly, timely, and efficient service while maintaining a professional and respectful tone in all interactions.
- Demonstrate strong active listening skills to fully understand customer concerns and identify the most appropriate resolution.
- Show empathy, patience, and flexibility during all customer interactions, particularly when assisting customers who may be frustrated or experiencing challenges.
- Maintain composure and professionalism while communicating with dissatisfied or upset customers and work to de-escalate difficult situations effectively.
Problem Solving & Resolution
- Evaluate customer concerns carefully and provide appropriate solutions that align with company policies and operational guidelines.
- Prioritize resolving customer issues and creating positive outcomes over simply proving a point or being "correct," focusing on what best supports the customer experience and company standards.
- Utilize strong problem-solving skills to address customer objections and concerns while guiding conversations toward productive solutions.
- Handle customer complaints with the highest level of professionalism, respect, and integrity.
Decision Making & Business Protection
- Be comfortable making informed decisions regarding applicable charges, fees, adjustments, or account actions by utilizing the guidelines, training, and expectations provided by Leadership.
- Use sound judgment to balance customer satisfaction with protecting the client’s business interests and financial integrity.
- Strive to achieve a fair and balanced "win-win" solution whenever possible, ensuring the customer feels heard while maintaining adherence to company policies.
- Maintain confidence in enforcing policies when necessary, demonstrating the ability to be firm but fair in situations where guidelines must be upheld.
- Escalate complex, sensitive, or high-risk cases to Leadership when appropriate while demonstrating initiative in resolving standard situations independently.
Documentation & Case Management
- Accurately document all relevant details of customer interactions, actions taken, and resolutions within the company database.
- Maintain well-organized records and case notes to ensure transparency, accountability, and continuity when accounts require follow-up or escalation.
- Collect and manage necessary data and supporting information related to escalated customer cases.
Systems & Operational Knowledge
- Develop expertise in the company’s operating software and internal systems in order to efficiently manage customer cases and account information.
- Utilize company tools and resources effectively to support accurate decision-making and efficient case resolution.
