CBRE GWS IFM PHILS. CORP. in Manila is seeking a seasoned Facilities Manager to oversee preventive maintenance across critical systems.
You will lead teams for electrical, HVAC, elevators, gensets, and lifting equipment, ensuring tasks are completed on schedule and within budget. You will coordinate with vendors, manage budgets, ensure regulatory compliance, and drive safe, cost-efficient operations while supervising technicians, security personnel, drivers, and housekeeping staff.
Preventive Maintenance Coordination
Develop, schedule, and oversee the preventive maintenance plans for critical systems, including: Electrical systems, HVAC (Heating, Ventilation, and Air Conditioning), Elevators, Generators (Genset), Lifting machines and other facility equipment
Monitor and ensure the timely execution of maintenance tasks by in-house technicians or external service providers.
Troubleshoot and resolve operational issues in collaboration with relevant teams or contractors.
Asset management and tracking
Work order management
Inventory control for maintenance supplies and equipment
Fleet Services Management
Oversee the operation and maintenance of company-owned and rented vehicles.
Ensure preventive maintenance schedules are followed for all vehicles to maintain operational efficiency and compliance.
Manage vehicle registration, insurance, and compliance with local transport regulations.
Monitor fuel usage, mileage, and overall fleet expenses, optimizing operational costs.
Coordinate with vendors for leasing, repairs, and maintenance services.
People Management
Supervise and manage the performance of technicians, housekeeping staff, security personnel, and drivers.
Conduct regular performance evaluations
Coordinate schedules, shift allocations, and task prioritizations to ensure efficient workforce management.
Foster a collaborative and safety-conscious work environment.
Permitting and Compliance
Monitor compliance schedule with local government regulations, permits, and safety standards for facility operations and fleet management.
Ensure regular audits and inspections are conducted for health, safety, and environmental compliance.
Manage documentation and submissions for permits, certifications, and other regulatory requirements.
Billing and Financial Management
Prepare and monitor budgets for facility management operations, including preventive maintenance, fleet expenses, and staffing costs.
Review and approve invoices from vendors and contractors, ensuring alignment with service agreements.
Generate financial reports, track expenses, and ensure cost-effective operations.
SAP Software Utilization
Utilize SAP software for facility and fleet management operations, including:
Financial tracking and reporting
General Administrative Duties
Assisting in managing service contracts and vendor relationships, ensuring high-quality and timely deliverables.
Handle emergency situations, coordinating quick resolutions to minimize disruptions.
Educational Background: Bachelor’s degree in Engineering (Mechanical, Electrical, or related field) is preferred.
Experience: At least 2 years of experience in facility management with a focus on preventive maintenance and engineering systems.
Should be available to start on or before September 1, 2025.
Strong knowledge of electrical, HVAC, elevator, generator, lifting machine systems, and vehicle maintenance.
Proficiency in SAP or similar enterprise software.
Leadership Skills:
Proven ability to lead multidisciplinary teams, including technical staff, housekeeping, security personnel, and drivers.
Strong communication, conflict resolution, and decision-making skills.
Regulatory Knowledge:
Familiarity with local government requirements, safety regulations, and compliance processes for facilities and vehicles.
Financial Acumen:
Budget preparation, financial reporting, and cost optimization.
Problem-Solving Ability: Strong analytical skills to troubleshoot facility and fleet issues effectively and implement solutions promptly.
