Job summary

Hammerjack Pty Ltd is seeking an experienced bookkeeper to manage accounting across three companies in QuickBooks Online, reconciling multi‑channel DTC/e‑commerce transactions. You will reconcile sales, fees, refunds, chargebacks, and payouts, maintain separate books for each legal entity, and prepare weekly reports for leadership using QuickBooks Online and Bill.com.

You will handle historical data from August 2025 through January 2026 with discretion and integrity.

Compensation: $10 per hour

Do you have hands-on experience keeping the books for a direct-to-consumer (DTC) or e-commerce brand selling across multiple channels

We are looking for an experienced bookkeeper to manage accounting across three companies in QuickBooks Online. You should understand how an online customer order flows from gross sales through discounts, fees, refunds, chargebacks, and platform payouts to the final bank deposit.

This position requires at least 2 years of direct bookkeeping experience supporting a DTC or e-commerce business across multiple sales channels.

You will keep the books accurate, current, and ready for leadership review. You will also reconcile historical receipts, invoices, and transactions from August 2025 through January 2026 as part of your ongoing workload, with no fixed catch-up deadline.

REQUIRED DTC / E-COMMERCE EXPERIENCE

To qualify, you must have:

• At least 3 years of bookkeeping experience, including 2 years supporting a DTC or e-commerce business.
• Hands‑on experience reconciling sales and payouts across multiple channels simultaneously, beyond Shopify alone.
• Experience with at least 2 of the following: Shopify, Amazon Seller Central, Walmart Marketplace, Faire, TikTok Shop, Stripe, or PayPal.
• The ability to separate gross sales, fees, refunds, chargebacks, sales tax, and holds or reserves, and reconcile net payouts to bank deposits.
• Experience investigating payout discrepancies using platform reports, transaction details, and bank records.
• Experience cleaning up historical or backlogged books.

KEY RESPONSIBILITIES

DTC / E-commerce Reconciliation

• Reconcile sales across 6 or more sales channels and payment processors, including Shopify and marketplaces.
• Accurately record sales, fees, refunds, chargebacks, and payouts, and match settlements to bank deposits.
• Investigate discrepancies between platform reports, QuickBooks Online, and bank records.
• Keep transactions and balances separate for each legal entity.

Bookkeeping & Historical Cleanup

• Maintain accurate books across three companies, keeping each company's records in its separate QuickBooks Online company file.
• Review, verify, and categorize automated bank feed transactions.
• Upload and categorize receipts, invoices, and supporting documents.
• Perform weekly reconciliation checks across 7 or more bank and credit card accounts, and complete monthly statement reconciliations.
• Reconcile Bill.com vendor bills, invoices, and payments.
• Maintain the general ledger and independently prepare journal entries for accruals, adjustments, and corrections.
• Reconcile historical transactions and supporting records from August 2025 through January 2026.

Financial Reporting & Leadership Support

• Prepare and review weekly QuickBooks Online reports, including Profit and Loss, Balance Sheet, Cash Flow, and General Ledger.
• Provide brief commentary explaining significant variances, unusual transactions, and discrepancies.
• Maintain budget spreadsheets and flag differences between budgeted and actual results.
• Monitor balance sheet accuracy, cash flow trends, cost increases, and margin changes.
• Communicate issues proactively and follow through on resolving them.

ADDITIONAL QUALIFICATIONS

• Strong QuickBooks Online expertise, including native bank feed connections.
• Experience using Bill.com for invoices, bills, and payments.
• Strong understanding of financial statements, the general ledger, and journal entries.
• Ability to manage bookkeeping across multiple companies without mixing transactions or records.
• High attention to detail and the ability to work independently.
• Confidence communicating findings and questions directly to leadership.
• Discretion and integrity when handling confidential financial information.
• Familiarity with tools such as Amazon Seller Central, Shopify, Stripe, PayPal, and Ramp.
