Job summary

Rivas & Associates seeks a Client Intake Specialist fluent in English and Spanish to be the first point of contact for clients during the production process.

You will conduct intake interviews, gather information, and coordinate documentation to ensure cases move smoothly to the next stage with accuracy and care.

Daily tasks include translation support, CRM data entry, and collaboration across teams while adhering to firm processes and deadlines.

Qualifications

• Minimum 1 year of experience in customer service or intake.
• Fluent in English and Spanish is required.
• Strong communication and client-relations skills.
• Ability to manage multiple client accounts and tasks in a fast-paced environment.
• Detail-oriented and organized with timely updates.
• Background check is required for this position.

Responsibilities

• Conduct welcome calls, intake interviews, and questionnaires to gather complete and accurate information about each client's history, goals, and legal needs.
• Request, collect, organize, and track required documentation and evidence, clearly explaining what's needed and following up consistently until items are received.
• Coordinate filing fee and medical exam requirements, communicating information clearly and following up on outstanding items.
• Provide translation support for client documents when qualified and assigned.
• Accurately and promptly enter all client information, case details, and communication notes into the firm's CRM and other designated systems.
• Identify and elevate issues, inconsistencies, or concerns that may require attorney or management review.
• Manage a high volume of client interactions, follow-ups, and administrative tasks while meeting deadlines and service standards.
• Collaborate with internal team members and follow all documented processes, workflows, scripts, and quality standards established by the firm.
