Job Description:
Summary:
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to our executive team.
The successful candidate will be responsible for managing schedules, coordinating meetings, handling confidential information, and ensuring smooth communication between executives and various stakeholders.
This role requires a high level of professionalism, discretion, and the ability to multitask in a fast-paced environment.
Responsibilities:
Calendar Management:
- Efficiently manage and coordinate executives' calendars, including scheduling and prioritizing meetings, appointments, and travel arrangements.
- Anticipate scheduling conflicts and proactively resolve them to optimize executives' time.
Meeting Coordination:
- Arrange and organize both internal and external meetings, ensuring all necessary resources and materials are prepared.
- Take minutes during meetings, track action items, and follow up on outstanding tasks.
Communication:
- Act as a primary point of contact for executives, handling correspondence and phone calls with professionalism and discretion.
- Draft and proofread emails, reports, and other documents on behalf of executives.
Travel Arrangements:
- Coordinate and book travel arrangements, including flights, accommodations, and ground transportation, ensuring efficiency and cost-effectiveness.
Documentation and Filing:
- Maintain and organize electronic and physical files, ensuring easy accessibility for executives.
- Handle confidential information with the utmost discretion and sensitivity.
Project Support:
- Assist with special projects and initiatives, providing administrative support as needed.
- Collaborate with other team members to ensure seamless execution of tasks.
Expense Management:
- Process and track expense reports in a timely and accurate manner, adhering to company policies.
Qualifications:
- Proven experience as an executive assistant or similar role.
- Strong organizational and time management skills.
- Excellent communication and interpersonal abilities.
- Discretion and confidentiality in handling sensitive information.
- Proficient in MS Office suite and other relevant software.
- Ability to prioritize tasks and work independently.
- Detail-oriented with a proactive approach to problem-solving.
- Bachelor's degree or equivalent experience preferred.
MINIMUM QUALIFICATIONS:
- Candidate must possess at least Bachelor's/College Degree, in any field.
- With good personality and above average communication skills
- Computer literate
