Job summary

Alphaland Corporation through Balesin Island Club seeks an Assistant Banquet Sales Manager to coordinate and execute events, interfacing with internal departments and clients to uphold banquet arrangements and quality. The role oversees supplier onboarding, QA, and supervision of event staff.

You will liaise closely with the F&B Director on food and beverage requirements and collaborate with the island operations team for event concepts and execution.

Qualifications

• Experience using MS Word and MS Excel for documentation and reporting.
• Experience in a similar role with health, safety, hygiene and licensing knowledge is advantageous.
• Proven ability to work effectively in a team.
• Background in hospitality and F&B is preferred.

Responsibilities

• First point of contact for clients, members, and guests at Balesin Island Club.
• Open and secure venues for events and manage bookings and banquet requirements.
• Chair weekly event meetings with the hospitality team and maintain documentation.
• Oversee supplier onboarding, quality assurance, and supervise event staff.
• Ensure compliance with health and safety, including alcohol license considerations.
• Prepare event evaluation reports and communicate actions post-event, coordinate with F&B and operations teams.

PRIMARY OBJECTIVE OF POSITION

The Assistant Banquet Sales Manager will play a vital role in the comprehensive coordination and execution of events at Balesin Island Club. This responsibility encompasses interfacing with relevant internal departments and external clients to uphold agreed banquet arrangements and activities and ensure quality standards and documentation.

Additionally, the position entails overseeing onboarding processes for suppliers, quality assurance, and supervision of the key personnel who will be part of the event.

ESSENTIAL FUNCTIONS

• First point of contact for clients, members, and guests at Balesin Island Club.
• Opening up and locking down of venues used for the event
• Taking and managing bookings and banquet requirements for members and guests
• Chairing weekly event meetings with the hospitality team
• Keeping documentation up to date and ensuring compliance of all visitors with health and safety
• Providing office cover as required
• Assistance with the preparation of member-related events held at the site
• Attending briefing sessions for upcoming events
• Supervise support persons such as stewards and back-up staff
• Be mindful of alcohol license agreements for each event, and highlight unauthorized consumption to supervisors
• Preparing event evaluation reports and communicating actions to post-event meetings
• Setting up of equipment, furniture, and refreshments
• Work closely with the F&B Director for the food and beverage requirements
• Liaise with the operations team regarding the conceptualization and implementation of island events and activities
• The middle man between the Manila Event Sales Department and the Club operations team
