Job Description
PURPOSE: is responsible for supporting the efficient acquisition, maintenance, tracking, and disposal of the company’s physical assets, including equipment, furniture, and fixtures. This position plays a key role in managing the lifecycle of assets, improving operational efficiency, and ensuring that company properties and assets remain well-maintained, compliant, and cost-effective
Key Accountabilities
- Assist in overseeing the acquisition and disposal of physical assets, including furniture, equipment, and fixtures.
- Asset coordination and monitoring
- Endorsement of real-time asset movement updates in the Asset GC.
- Perform asset tagging for all company equipment and assign unique identification codes in preparation for asset monitoring.
- Conduct actual counting and month-end asset inventory monitoring for all stores (including Sostanza)
- Collation of complete asset details and photo documentation for stores scheduled for closure
- Store closure asset inventory report (asset transfer, keeping, and disposal)
- Updating and maintenance of the master list and photo reference of all assets (including newly added items)
- Walkthrough of the asset master file for store opening
- Collating, filing, and preparing the necessary documents for processing with the LTO for all CIBO vehicles
- Coordinate with Purchasing to track parts and equipment orders, delivery statuses, and repairs handled by suppliers.
- Monitor the lifecycle of company assets and track repair frequency to determine if an asset is providing value or becoming financially burdensome.
- Prepare and update reports on asset condition and lifecycle status.
- Prepare and submit monthly inventory reports, including updates on asset status, breakages, and any disposal activities.
- Coordinate with department heads to ensure asset movements are accurately tracked and reported.
- Contribute to the improvement of operational efficiency by suggesting cost-control measures and streamlining asset management processes.
- Support the improvement of supply chain processes, including assisting in the development and updates to asset procurement templates.
- Provide input and assist in the preparation of presentations, reports, and recommendations for senior management.
- Perform month-end reports
- Perform other given tasks from time to time.
Minimum Qualifications
- Education: Bachelor's degree in SCM, Business Administration, Finance, or related field
- Advanced degree or industry certifications (e.g., CPM, RPA) preferred.
- Experience: Minimum of 1-2 years of experience in asset management, property management, or a related field.
- Strong financial acumen and proficiency in property financial analysis, budgeting, and forecasting.
- Excellent interpersonal and communication skills, with the ability to interact effectively.
- Familiarity with asset tracking systems (e.g., Asset GC, asset tagging tools) is an advantage.
- Familiarity with Preventive Maintenance Systems (PMS).
- Comprehensive knowledge of property management software, lease agreements, and legal.
- Strategic thinker with the ability to develop and implement asset management strategies.
- Strategic mindset with a proactive approach to problem-solving and decision-making.
