Job summary

YTO EXPRESS is seeking an Asset Control & Monitoring specialist in Pasay to record, tag, and track company assets, maintain the central registry, and monitor movements across branches. You will conduct periodic inventories and reconcile counts against system records while assisting with asset issuance and proper documentation.

The role involves coordinating with vendors for maintenance, supporting audits, and delivering regular asset reports with recommendations to improve asset efficiency.

Qualifications

• Bachelor’s degree in a related field.
• Fresh graduates welcome; 1–3 years in asset management, inventory control, warehouse operations, or related role preferred.
• Basic knowledge of asset tracking systems and inventory management.
• Proficient in MS Excel and reporting tools.

Responsibilities

• Record, tag, and track all company assets.
• Maintain and update the centralized asset registry/database.
• Monitor asset movement, transfers, and deployment across branches/sites.
• Ensure assets are properly accounted for at all times.
• Conduct periodic physical inventory and asset verification.
• Reconcile physical counts against system records; report discrepancies.
• Assist in asset issuance, transfer, and return; maintain documentation (AARs, transfer forms, disposal forms).
• Coordinate with vendors for maintenance and servicing; track depreciation if required by Finance.
• Support asset management policies, internal controls, and audit activities.
• Prepare regular asset reports (weekly/monthly) and analyze asset utilization, damages, losses, and aging.
• Assist in trainings related to asset management procedures.

Job description

1. Asset Control & Monitoring

• Assist in recording, tagging, and tracking of all company assets.
• Maintain and regularly update the centralized asset registry/database.
• Monitor asset movement, transfers, and deployment across branches/sites.
• Ensure assets are properly accounted for at all times.

2. Inventory & Reconciliation

• Conduct periodic physical inventory and asset verification.
• Reconcile physical counts against system records.
• Report discrepancies and assist in preparing variance reports.
• Support implementation of corrective actions to prevent asset loss.

3. Asset Issuance & Documentation

• Assist in the issuance, transfer, and return of assets.
• Ensure proper documentation such as Asset Acknowledgment Receipts (AAR), transfer forms, and disposal forms.
• Maintain organized and updated asset files.

4. Maintenance & Lifecycle Management

• Monitor asset condition and report maintenance needs.
• Coordinate with vendors for repair and servicing as needed.
• Assist in recommending repair, replacement, or disposal of assets.
• Support tracking of asset depreciation (if required by Finance).

5. Compliance & Policy Implementation

• Follow and support implementation of asset management policies and procedures.
• Ensure compliance with internal controls and audit requirements.
• Assist during internal and external audit activities.
• Support process improvements for asset management.

6. Reporting & Analysis

• Prepare regular asset reports (weekly/monthly).
• Assist in analyzing asset utilization, damages, losses, and aging.
• Provide basic recommendations for improving asset efficiency.

7. Coordination & Support

• Coordinate with different departments regarding asset requests and concerns.
• Support asset custodians and ensure proper handling of company assets.
• Participate in trainings related to asset management procedures.

Qualifications

• Bachelor's Degree in Business Administration, Accountancy, Logistics, Supply Chain, or related field.
• Fresh graduates are welcome to apply; however, candidates with at least 1-3 years of experience in asset management, inventory control, warehouse operations, or a related role are preferred.
• Basic knowledge of asset tracking systems and inventory management.
• Proficient in MS Excel and reporting tools.
• Strong analytical and organizational skills.
• Ability to work collaboratively and follow instructions.
