B J Mercantile, Inc. is seeking a skilled Fleet & Equipment Coordinator to manage daily dispatches, mobilizations, and site inspections for heavy equipment at project sites.

Job Responsibilities:
1. Fleet & Equipment Operations
Coordinate the daily dispatch, mobilization, and demobilization of heavy equipment, transport trucks, and specialized machinery to and from project sites.
Conduct thorough site inspections alongside equipment operators prior to project commencement or heavy lifts to evaluate ground conditions, overhead obstructions, access routes, potential hazards and submission of lift plan and site inspection report.
Monitor equipment utilization rates, idle times, and fuel consumption to optimize operational efficiency and reduce overhead costs.
Maintain a real-time inventory and log of all on-site assets, including tools, attachments, and service parts.
2. Maintenance & Technical Support Coordination
Collaborate with mechanics, auto-electricians, and workshop teams to schedule routine preventative maintenance (PM) and urgent repairs.
Track error codes, diagnostic reports, and repair histories for fleet units to prevent recurring mechanical failures.
Oversee the procurement and staging of spare parts, lubricants, and essential supplies required for immediate on-site maintenance.
3. Site Logistics & Safety Compliance
Ensure all equipment operating on-site complies with local safety regulations, labor standards, and corporate operational policies.
Conduct pre-operation safety and compliance spot-checks for heavy machinery and verify that operators possess the appropriate certifications and licenses.
Coordinate with site supervisors and project managers to resolve logistical bottlenecks, access issues, or equipment shortages.
4. Administrative & Reporting
Maintain comprehensive records of equipment logs, operator checklists, delivery receipts, and maintenance work orders.
Prepare periodic reports on equipment downtime, repair expenses, fuel usage, and incident logs for management review.
Assist in processing equipment-related documentation, including damage reports, warranty claims, and asset transfer forms.
Job Qualifications:
Bachelor's Degree in Civil Engineering, Mechanical Engineering, Industrial Engineering, or any related engineering course. Licensed Engineer is an advantage but not required.
At least 2-3 years of relevant experience in site coordination, equipment operations, fleet management, construction, mining, or heavy equipment rental operations.
Knowledgeable in heavy equipment mobilization and demobilization, fleet scheduling, and equipment utilization monitoring.
Familiar with preventive maintenance (PM), equipment troubleshooting, repair coordination, and spare parts inventory management.
Has experience in conducting site inspections, identifying operational hazards, and coordinating project site requirements.
