I. JOB SUMMARY
The Equipment Staff is responsible for assisting in the proper management, monitoring, utilization, maintenance, and documentation of company-owned and rented construction equipment. The position ensures that equipment is available, operational, properly recorded, and utilized efficiently in accordance with company policies, project requirements, and safety standards.
II. DUTIES AND RESPONSIBILITIES
- Monitor the daily deployment and utilization of construction equipment at project sites.
- Maintain accurate records of equipment movement, assignment, operating hours, fuel consumption, and utilization.
- Prepare and update daily equipment monitoring reports and equipment status reports.
- Coordinate with Project Managers, Site Engineers, Operators, and Mechanics regarding equipment requirements and availability.
- Monitor equipment preventive maintenance schedules and coordinate maintenance activities with the concerned personnel.
- Report equipment breakdowns, defects, damages, and other mechanical issues immediately to the Equipment Supervisor.
- Assist in coordinating the repair and maintenance of equipment.
- Monitor the condition and proper use of company-owned and rented equipment.
- Ensure that equipment is properly assigned and used only for authorized project activities.
- Maintain and organize equipment-related documents, including inspection reports, maintenance records, rental agreements, delivery receipts, and equipment checklists.
- Monitor equipment rental periods and coordinate with suppliers regarding extensions, pull-outs, replacements, or additional equipment requirements.
- Assist in checking equipment upon delivery and return, including documentation of its condition.
- Monitor fuel issuance and consumption of equipment and report unusual or excessive consumption.
- Assist in conducting periodic physical inventory and inspection of equipment.li>
- Coordinate with Accounting and Procurement regarding equipment rental, maintenance, repair, fuel, and related documentation.
- Ensure that equipment operators submit required daily equipment reports and operating-hour records.
- Assist in verifying equipment utilization against project requirements and approved work schedules.
- Ensure compliance with company safety policies and applicable construction site safety requirements.
- Immediately report unauthorized use, negligence, misuse, loss, or damage involving company equipment.
- Perform other duties and responsibilities that may be assigned by the immediate supervisor or management.
III. QUALIFICATIONS
Education:
- Bachelor’s degree in Engineering, Construction Management, Business Administration, or a related field is preferred.
- A technical or vocational qualification related to heavy equipment, automotive, or machinery is an advantage.
Experience:
- At least 1–2 years of experience in equipment monitoring, construction operations, logistics, fleet management, or a related field is preferred.
- Experience in a construction company is an advantage.
Skills and Competencies:
- Knowledge of construction equipment and basic equipment maintenance.
- Good record-keeping and documentation skills.
- Basic knowledge of Microsoft Excel and Microsoft Office.
- Good communication and coordination skills.
- Attention to detail and accuracy.
- Ability to monitor multiple equipment assignments and project requirements.
- Ability to identify and report equipment problems promptly.
- Organized, responsible, and trustworthy.
