Satellite Office is seeking an Appointment Setter (Scheduler) to support a leading Australian construction and maintenance services client. Our awesome client, a leading provider of construction and maintenance services in Australia, is looking for a Scheduler to be part of their Operations team.
As a Scheduler, you will play a key role in ensuring work is properly planned, scoped, scheduled, and resourced to meet both internal and external customer requirements. You'll coordinate technicians, tradesmen, subcontractors, and clients while optimizing daily schedules to maximize productivity and service efficiency.
This role is ideal for a highly organized and proactive professional who can stay calm under pressure, manage multiple priorities, and take ownership of issues. You'll serve as a key point of contact for clients and team members while providing essential administrative and operational support to the business.
Answer a high volume of calls from clients and team members, serving as a first point of contact.
Liaise with clients to understand their service requests, requirements, and scheduling needs.
Monitor and prioritize urgent and reactive maintenance requests, ensuring critical jobs are escalated and allocated promptly.
Optimize daily schedules and technician allocations to maximize productivity, minimize travel time, and improve service efficiency.
Coordinate with multiple tradesmen and subcontractors to schedule a high volume of service work.
Keep clients informed of work progress, including job completion updates.
Liaise with management regarding job requirements, scheduling challenges, and operational matters.
Proactively identify issues and provide practical solutions and resolutions where possible.
Complete general administrative duties as required by the General Manager or Operations Manager.
Provide additional operational, administrative, and scheduling support as directed by management.
Perform other duties as required to meet business and client requirements.
Minimum 2 years of experience in coordination or scheduling, preferably within building, construction, or maintenance environments.
Experience in construction or maintenance is highly advantageous.
Experience using a variety of computer software packages, including Microsoft Office.
Highly developed communication and interpersonal skills.
Strong initiative with the ability to take ownership of issues and demonstrate a positive, "can-do" attitude.
Strong problem-solving skills with the ability to think proactively and provide practical solutions.
Excellent attention to detail and a methodical, thorough approach to work.
Ability to remain calm under pressure while effectively managing multiple tasks and priorities.

A relevant project management tertiary qualification is advantageous but not essential.
