Job summary

Staff X - Offshore Staffing is seeking a Senior Project Scheduler to own the live scheduling programme for a portfolio of insurance repair and rebuild jobs. You will work directly with project managers in a construction controls environment, navigating real-time disruptions and making autonomous scheduling decisions across 30 to 40 projects per manager.

This is a full work-from-home role, requiring strong English communication with Australian tradespeople and the ability to keep all stakeholders

Qualifications

• Minimum three years of scheduling, project coordination, or similar experience in a construction or building environment.
• Strong spoken and written English with the confidence to communicate with Australian tradespeople over the phone.
• Proven ability to work autonomously, investigate problems, and make decisions without step-by-step guidance.
• High-volume work management capable of handling many concurrent short-duration jobs.

Responsibilities

• Schedule and reschedule insurance repair jobs in real time using the client’s platform.
• Apply construction sequencing knowledge to autonomous scheduling across 30–40 projects per project manager.
• Make and receive calls with site supervisors and tradespeople to gather real-time updates and resolve blockers.
• Issue purchase orders to tradespeople and subcontractors with clear dates and scope.
• Communicate proactively with project managers when tasks risk missing targets or require escalation.
• Maintain accurate job records, notes, and status fields in the platform.
• Monitor KPI dashboard in Power BI to track daily and weekly task completion against targets.

A senior scheduling role where your construction knowledge keeps 30–40 live projects moving every single day, and where your decisions actually matter.

If you understand how a repair or rebuild job runs from slab to lock-up, and you can hold a scheduling programme together across dozens of concurrent projects without losing the thread, this role was built for you. This is not a data-entry coordination role.

It is a senior position that demands construction knowledge, autonomous judgement, and the communication confidence to get answers out of busy tradespeople on a phone call.

THE ROLE

As Project Scheduler, you will own the live scheduling programme for a portfolio of insurance repair and rebuild jobs, working directly alongside project managers in a construction project controls environment. Each day you will navigate real-time disruptions: weather delays, trade unavailability, scope changes, and rebuild scheduling sequences without waiting to be told how. Your decisions directly determine whether projects hit their targets or fall behind, and your discipline in maintaining accurate job records and proactive communication keeps the whole delivery engine running.

WHAT YOU WILL DO

• Schedule and reschedule insurance repair jobs in real time using the client's proprietary platform, responding to weather delays, trade availability changes, and project manager instructions.
• Apply construction trade sequencing knowledge to make autonomous scheduling decisions across a live portfolio of 30 to 40 projects per project manager.
• Make and receive phone calls with site supervisors and tradespeople to gather real-time job updates, confirm schedule changes, and resolve blockers before they escalates.
• Issue purchase orders to tradespeople and subcontractors, confirming dates, scope, and expectations before dispatch.
• Communicate proactively with assigned project managers when tasks are at risk of missing targets or when scheduling decisions require escalation.
• Maintain accurate job records, notes, and status fields within the platform so every stakeholder works from current information.
• Monitor your personal KPI dashboard in Power BI to track daily and weekly task completion against set performance targets.

WHAT YOU BRING

• Minimum three years of demonstrated scheduling, project coordination, or similar experience in a construction or building environment, with working knowledge of how a residential or commercial repair or rebuild job sequences from start to finish.
• Strong spoken and written English, with the confidence to speak clearly and get direct answers from Australian tradespeople, supervisors, and project managers over the phone.
• Proven ability to work autonomously, investigate problems, form decisions, and elevate intelligently without needing step-by-step guidance.
• High-volume work management capability, comfortable running many concurrent short-duration jobs rather than a small number of long, slow projects.
• Availability to work Australian business hours.
