Job summary

Sphere Rocket VA US is seeking an Agency Operations Manager and GoHighLevel Specialist for a remote role. You will coordinate daily agency operations, supervise social media activity, and administer GoHighLevel with reporting and pipelines.

This role requires strong Excel skills and calendar-driven discipline. You will also coordinate Slack communication, onboarding, and internal workforce reporting, while supporting promotional activities and referral programs.

Qualifications

• Experience managing GoHighLevel with pipelines, tags and reporting.
• Proficient in Meta Business Suite and Google Business Profile content review.
• Strong Excel/Sheets trackers and recurring report creation.
• Excellent organizational skills and deadline management.

Responsibilities

• Coordinate daily agency operations with leadership and teams, tracking task completion and quality.
• Supervise social media content across Facebook, Instagram, and Google Business Profile.
• Administer GoHighLevel contacts, pipelines, tags, and reporting.
• Coordinate team communications via Slack and manage lead transfers and call gap tracking.
• Prepare and distribute regular sales, service, telemarketing, and performance reports using Excel/Sheets.
• Monitor leads and call activity, flag low volumes, and notify leadership.
• Track staff attendance, absences, and time off with accurate records.
• Coordinate onboarding, document collection, and compliance renewals.
• Maintain templates, org charts, and internal workforce reports.
• Assist with referral rewards and promotional activities.
• Handle admin tasks, office supplies, travel, and other ops assignments.
