Job Summary
The HR Admin Generalist is responsible for maintaining accurate and updated employee 201 files and HR records, while providing day-to-day administrative support for various HR activities. The role ensures that employee documents are complete, properly organized, confidential, and readily available for HR and audit requirements.
The position will also assist in employee onboarding, documentation, attendance and timekeeping, HR reports, government and company requirements, employee records management, and other HR administrative tasks as assigned.
Key Responsibilities
- Maintain and update employee 201 files and ensure completeness of required documents.
- Organize both physical and digital employee records using proper filing and naming conventions.
- Monitor missing, expired, or incomplete employee documents and conduct regular follow-ups.
- Ensure proper documentation of new hires, transfers, promotions, regularization, leaves, disciplinary actions, resignations, and other employee movements.
- Assist in preparing and releasing HR documents such as employment contracts, job offers, NTEs, notices, certificates, and other employee-related forms.
- Maintain accurate employee masterlists, trackers, and HR databases.
- Assist in onboarding and offboarding documentation, including requirements, clearance, and exit documents.
- Coordinate with employees, supervisors, and other departments regarding pending HR requirements.
- Ensure confidentiality and proper handling of sensitive employee information.
- Assist in preparing HR reports and documentation for internal monitoring and audit purposes.
- Perform other HR administrative and generalist duties as assigned.
Qualifications
- Bachelor's Degree in Human Resources, Psychology, Business Administration, or a related field.
- With 1–2 years of experience in HR Administration, HR Generalist, or employee records management.
- With hands-on experience in maintaining and organizing 201 files is highly preferred.
- Knowledgeable in employee documentation, onboarding, offboarding, attendance, leave, and HR records management.
- Strong attention to detail and accuracy in handling employee information and documents.
- Proficient in Microsoft Office, particularly Excel, and Google Workspace.
- Good written and verbal communication skills.
- Organized, systematic, and able to manage multiple HR tasks and deadlines.
- Able to handle confidential and sensitive employee information with professionalism.
- Willing to work onsite and support other HR functions when needed.
