BTSMC Managing Solutions, Inc. is urgently looking for ADMINISTRATIVE L&D ASSITANT to be assigned in Pagbilao, Quezon Province.
Qualifications:
- Bachelor’s degree in business administration, Communication, HR, or related field.
- 1 year of project experience but not required.
- 1 year working experience with administrative works
- Computer literate and Proficient in Google workspace applications
General Description:
The role provides end-to-end logistical and administrative support for training programs, ensuring smooth execution from planning through post-training documentation. It focuses on providing support to management of training facilities, processing payments, and maintaining accurate physical and digital training records to meet the departmental development objectives. Specifically:
Duties & Responsibilities
- L&D Facility & Logistics Management
- Performs physical setup of training rooms, including the arrangement of furniture and testing of projectors/audio equipment.
- Ensures the L&D facility is well-maintained, fully equipped, and training-ready.
- Manages the inventory and upkeep of training resources, tools, and technical equipment.
- Executes post-training closing activities, including the distribution of certificates to participants.
- Conducts regular inventory checks of stock rooms to ensure sufficient supply of training essentials, office supplies, and pantry items.
- Coordinates with external food providers to ensure timely delivery of snacks and meals for sessions.
- Assists instructors in the facilitation of training through time management and ice breakers.
- Supports the management of the training calendar by sending out email invitations and calendar appointments.
- Coordinates with SHE for safety orientations and Security for site access of visitors or providers.
- Liaises with Facility and Services Management (FSM) for transportation and accommodation needs for trainers or participants.
2. Documentation & Record Keeping
- Manages the digital deployment and electronic tracking of attendance via QR codes, digital forms, or LMS.
- Maintains an organized database or physical file of training records, including exam results and certifications.
- Administers training evaluation forms and collates feedback for reporting.
- Assists in the preparation, printing, and reproduction of training materials, exams, and handouts.
CPD & Financial Administration
- Consolidates learning designs and documentation required for CPD accreditation approval.
- Processes CPD program applications and associated payments.
- Assists in the preparation and submission of CPD completion reports within the required prescriptive periods.
- Processes payments for training providers and ensures all invoices and receipts are submitted to Finance
Support and Coordination
- Perform other duties to support Global Technical Center of Excellence (GTCOE) and other assets
- Perform other related duties and responsibilities that may be assigned by the team leader

- Work Schedule: Monday - Saturday, 8hrs./day
- Work Location: Pagbilao, Quezon Province
