Leads administrative functions, providing high-level support to engineering/technical departments, ensuring operational efficiency, resource management, and adherence to company standards, leveraging technical knowledge for better coordination with site/project teams.
Key Responsibilities
- Project & Document Control: Manage technical documentation, drawings, RFIs, submittals, and archive records; oversee daily, weekly, and monthly progress reports.
- Reporting & Analysis: Consolidate data, prepare presentations, charts, and dashboards for management; analyze resource data and operational activities.
- Operational Support: Coordinate meetings, manage calendars, arrange travel, handle correspondence (emails, calls), and manage office supplies/equipment.
- Financial & Compliance: Oversee invoice processing, track expenses, assist with budgeting/forecasting, and ensure compliance with financial/industry standards.
- Team Leadership: Supervise admin staff, delegate tasks, train new hires, act as liaison between technical teams and upper management, and develop efficient workflows.
- Vendor & Contract Management: Negotiate contracts, manage supplier/contractor relationships.
Qualifications & Skills
- Education: Bachelor's degree (Engineering, Business Admin, or related field preferred).
- Experience: Proven experience in administrative management, ideally supporting technical or engineering teams.
- Technical Skills: Proficiency in MS Office (Excel, Word, etc.), database management, accounting software (QuickBooks), and understanding of engineering project lifecycles.
- Soft Skills: Strong leadership, communication, problem-solving, time management, detail-orientation, and ability to work in a fast-paced environment.
