Jatro BPO is seeking an Administrative Compliance Specialist to monitor regulatory requirements, coordinate with strata managers, contractors, agents, tenants, councils, and property owners, and maintain precise documentation.
The successful candidate will be organized, detail-oriented, proactive, and able to manage multiple tasks, deadlines, and follow-ups using MS Office tools, with a focus on compliance across managed properties.
The role is responsible for monitoring compliance requirements, coordinating with relevant stakeholders, maintaining accurate documentation, and following up on outstanding compliance matters.
The ideal candidate is organized, detail-oriented, proactive, and comfortable coordinating with strata managers, contractors, agents, tenants, councils, property owners, and other service providers.
Compliance Monitoring & Coordination
Monitor compliance requirements, deadlines, certifications, and renewal dates for managed properties.
Coordinate with contractors, strata managers, agents, tenants, councils, and other relevant parties regarding compliance matters.
Follow up on upcoming and outstanding compliance requirements to ensure timely completion.
Escalate overdue, unresolved, or urgent compliance matters to the appropriate manager.
Work closely with strata managers and contractors to maintain compliance across managed properties.
Documentation & Reporting
Maintain accurate and up-to-date records of compliance activities, inspections, certifications, reports, and related documentation.
Ensure all required compliance certificates and documents are current and properly filed.
Prepare regular compliance updates and reports for the strata management team and/or property owners.
Maintain organized electronic records and ensure compliance documentation can be easily retrieved when required.
Work Orders & Contractor Coordination
Issue compliance-related work orders and request quotations upon manager instruction.
Coordinate with contractors regarding inspections, required works, certifications, and completion of compliance items.
Monitor the progress of compliance work orders and follow up on pending actions.
Coordinate the charging of annual Fire Safety work orders sent to SMATA.
Stakeholder Communication
Maintain clear and professional communication with strata managers, property owners, tenants, contractors, agents, councils, and service providers.
Respond to compliance-related queries and coordinate appropriate actions or follow-ups.
Collaborate with the strata management team to support smooth and efficient day-to-day operations.
Previous experience in administration, documentation, CSR, coordination, property management, strata, compliance, or a related field is preferred.
Strong organizational and time-management skills.
Excellent attention to detail and record-keeping abilities.
Good written and verbal communication skills.
Ability to manage multiple tasks, deadlines, and follow-ups.
Proactive and comfortable coordinating with different stakeholders.
Proficiency in Microsoft Office, particularly Excel and Outlook.
Australian strata or property management experience is an advantage but not essential.
