ROLE OVERVIEW
We are seeking a highly organized, proactive, and tech-savvy Admin Support Specialist / Executive Assistant to support a New Zealand-based client. This role is responsible for providing executive, administrative, communication, and operational support to the business owner and their team.
The ideal candidate enjoys working in a fast-paced environment and is comfortable managing calendars, email communications, documentation, reporting, and business coordination activities. This position requires excellent English communication skills, strong proficiency in Google Workspace, and the ability to utilize AI tools to improve productivity and efficiency.
While the role includes basic social media administration and Canva editing, it is not primarily a graphic design position. Candidates with experience in graphic design or social media management will have an added advantage.
JOB RESPONSIBILITIES
Executive & Administrative Support
- Manage calendars, appointments, meetings, and scheduling requirements
- Coordinate meetings, reminders, and follow-up actions
- Manage email inboxes and prioritize communications on behalf of the business owner
- Draft professional emails, letters, and business correspondence
- Maintain digital filing systems and ensure proper document organization
- Prepare reports, presentations, meeting summaries, and action items
- Perform general administrative and operational support tasks
Communication & Coordination
- Execute communication tasks on behalf of the business owner
- Coordinate with clients, suppliers, contractors, and stakeholders
- Follow up on outstanding tasks, deadlines, and action items
- Maintain professional communication across all channels
AI & Productivity Support
- Utilize AI tools such as ChatGPT and similar platforms to improve efficiency and productivity
- Assist with content drafting, email preparation, research, and documentation
- Support process improvement and administrative automation initiatives
- Leverage technology solutions to streamline daily business operations
Social Media Administration
- Schedule and publish approved social media content
- Maintain content calendars and posting schedules
- Update existing Canva templates and marketing materials when required
- Monitor social media inboxes and basic engagement activities
Google Workspace & Document Management
- Manage and organize Google Drive folders and company files
- Create, update, and maintain Google Docs and Google Sheets
- Ensure proper document version control and accessibility
- Assist with reporting, tracking, and data management activities
JOB REQUIREMENTS
- Minimum of 2 years experience in Administration, Executive Assistance, Virtual Assistance, Office Support, or similar roles
- Strong proficiency in Google Workspace (Google Docs, Sheets, Drive, Calendar, and Gmail)
- Excellent written and verbal English communication skills
- Experience managing executive calendars, schedules, and email inboxes
- Comfortable using AI tools such as ChatGPT and other productivity platforms
- Strong organizational, time-management, and multitasking skills
- High attention to detail and accuracy
- Ability to work independently with minimal supervision
- Professional, reliable, and capable of maintaining confidentiality
PREFERRED QUALIFICATIONS
- Experience supporting New Zealand, Australian, or international clients
- Experience working directly with business owners, executives, or senior leadership teams
- Basic Canva editing skills
- Experience scheduling and managing social media content
- Experience using Zoom, Microsoft Teams, or similar collaboration platforms
- Familiarity with CRM systems and project management tools
- Experience in Graphic Design is an advantage
- Experience in Social Media Management is an advantage
