  • Supervise daily administrative operations, develop systems and policies, and manage vendor contracts for office services.
  • Monitor expenses, prepare reports on administrative costs, travel expenses, and facility maintenance, and conduct periodic audits of procedures.

Job description

The Admin Manager is responsible for overseeing and ensuring the smooth day-to-day operations of the administrative functions of the company. This includes managing office facilities, coordinating travel and accommodation arrangements, and providing overall administrative support to ensure efficient internal operations and employee satisfaction.

Key Responsibilities:
Facility Management
  • Oversee the maintenance, cleanliness, and security of office premises.
  • Manage office supplies, equipment, and asset inventory.
  • Coordinate with building management and external vendors for repairs, renovations, and compliance with safety regulations.
  • Ensure utilities and facilities (e.g., air-conditioning, electricity, water) are functional and cost-efficient.
Travel and Accommodation
  • Manage end-to-end domestic and international flight bookings for employees and executives.
  • Coordinate hotel accommodations, airport transfers, and travel itineraries.
  • Maintain travel records, monitor travel budgets, and ensure adherence to travel policies.
  • Liaise with travel agencies and negotiate corporate rates for travel services.
General Administration
  • Supervise and support the daily operations of the administrative team (e.g., receptionists, messengers, utility staff).
  • Develop and implement administrative systems, processes, and policies to support business operations.
  • Handle incoming and outgoing communications, document control, and filing systems.
  • Manage vendor contracts for office services (e.g., janitorial, security, courier, pantry supplies).
Compliance and Reporting
  • Ensure administrative activities comply with internal policies and external regulations.
  • Monitor expenses and prepare regular reports on administrative costs, travel expenses, and facility maintenance.
  • Conduct periodic audits of administrative procedures and recommend improvements.
