Twin Star Pacific Foods Inc. in Iloilo City is seeking an Administration Manager to oversee administrative operations of the ice plant, ensuring permits, asset management, and documentation are in order while guiding the admin team towards structured processes for efficiency and compliance.
The role coordinates regulatory, asset management, warehouse, fleet, and operational support functions critical to the company's success.
The Administration Manager is responsible for overseeing the administrative operations of the ice plant, ensuring compliance with permits and documentation requirements, safeguarding company assets, supervising the administrative team, and establishing structured process flows and required forms to provide control and to improve efficiency and compliance. This role ensures smooth coordination of regulatory, asset management, warehouse, fleet, and operational support functions critical to the company’s success.
Oversee the acquisition, renewal, and safekeeping of permits and licenses for all company locations.
Ensure timely preparation and submission of required supporting documents to government agencies and regulatory bodies.
Supervise the safekeeping, turnover, and documentation procedures for company assets, including vehicles, real properties, office equipment, and gadgets.
Maintain accurate records of asset ownership, usage, and transfer.
Oversee large equipment such as compressors and motors, ensuring proper documentation of quantity, condition, and location.
Ensure timely updates and renewal of truck stickers and travel permits for provincial and city operations.
Oversee renewals of vehicle registrations, including comprehensive insurance and/or TPL (Third-Party Liability).
Monitor compliance with local transport regulations.
Track fleet assignments, condition, and usage of tools, batteries, fuel, and other consumables.
Implement inspection schedules to ensure fleet readiness and safety.
Set up warehouse systems and processes for receiving, releasing, transmittals, and other activities.
Conduct regular inventory checks to ensure accuracy and accountability.
Oversee the movement of items in and out of plant sites during especially during ongoing projects.
Establish structured workflows for warehouse operations to ensure efficiency and compliance.
Invent and initiate structured process flows to standardize administrative procedures.
Continuously refine workflows for permits, asset management, fleet compliance, warehouse operations, and staff supervision to ensure clarity, accountability, and efficiency.
Lead, supervise, and mentor the administrative staff to ensure efficient workflow and adherence to company policies.
Assign tasks, monitor performance, and provide guidance for continuous improvement.
Bachelor’s degree in Industrial Engineering course or other related field.
Preferably with 3 to 5 years work experience in process improvement such as application of Six Sigma and other procedure improvement framework
Strong knowledge of regulatory compliance, asset management, warehouse operations, and fleet management procedures.
Experience in designing and implementing structured workflows or process improvements.
Excellent organizational, leadership, and communication skills.
Proficiency in documentation systems and office software (e.g., MS Office, Google Workspace). Advanced knowledge in Google Workspace particularly Google Sheets.
Integrity, attention to detail, and ability to work under pressure.
