The Qualifications We Seek
- At least 1 year of relevant experience in accounts payable, finance, or transactional accounting
- Proven experience in handling high-volume transactions efficiently
- Proficiency in ERP systems and Microsoft Office applications
- Excellent verbal communication and teamwork skills
- Strong sense of responsibility, dependability, and attention to detail when managing financial data
- Strong ability to prioritize and manage multiple tasks
- Friendly and approachable attitude with a commitment to providing excellent service
Your Daily Tasks
Invoice Validation
- Validate invoices for accuracy, completeness, and compliance
- Verify receipt and matching of PO-related invoices and confirm approval of any variances
- Verify approval of non-PO invoices in accordance with company policy
- Confirm invoices meet valid tax invoice requirements and contain accurate addressing and coding
Invoice Processing
- Enter invoices accurately into Business Central
- Process high volumes of invoices and allocate transactions to the correct vendor accounts
- Allocate transactions to the appropriate G/L, GST, and dimension codes
- Process and record EFT payments accurately
Supplier Queries and Communication
- Address supplier queries promptly and professionally
- Maintain clear and professional communication with suppliers regarding account and payment concerns
Supplier Statement Reconciliations
- Reconcile supplier statements accurately
- Identify reconciling items and follow up promptly with suppliers until resolution
Policies and Procedures
- Ensure staff adherence to established Procure-to-Pay policies and procedures
Supplier Payments
- Process supplier payments on or before their due dates
- Capture worthwhile early-payment discounts when available
- Prevent late-payment penalties through accurate and timely payment processing
New Supplier Accounts
- Verify completion and signatures of required forms for new suppliers
- Enter supplier information accurately into the ERP system
- Follow up with suppliers to ensure timely account creation
Supplier Master Data
- Maintain accurate and current supplier master data, including bank details, names, addresses, and contact details
Reporting
- Prepare and provide all required reports accurately and within established timelines
