Job Description
The Admin and Accounting Assistant provides day-to-day operational support across the Administration, Accounting, Human Resources, and Compliance functions of Riva Corporation. This role is responsible for ensuring accurate record-keeping, timely processing of financial transactions, compliance with government regulatory requirements, and overall administrative efficiency of the office.
II. Duties and Responsibilities
A. General Administration
- Manage office correspondence, filing systems, and supply inventory.
- Coordinate scheduling, meetings, and day-to-day administrative tasks.
- Maintain organized physical and digital records of company documents, contracts, and permits.
- Assist in preparing internal memos, reports, and official communications.
B. Accounting and Bookkeeping
- Record and monitor daily financial transactions in the company's books.
- Process accounts payable and accounts receivable, including invoicing and collections follow-up.
- Assist in the preparation of monthly financial reports and statements.
- Reconcile bank statements and ensure accuracy of financial records.
- Support in payroll computation including statutory deductions (SSS, PhilHealth, Pag-IBIG).
C. HR Administrative Support
- Maintain and update employee records, contracts, and 201 files.
- Assist in timekeeping, attendance monitoring, and leave management.
- Support recruitment activities including scheduling of interviews and document collection.
- Coordinate onboarding requirements for new hires.
D. Compliance and Regulatory
- Assist in the preparation and timely filing of BIR tax returns (VAT, income tax, withholding tax) via eFPS or eBIRForms.
- Support documentation requirements for Bureau of Customs (BOC) and other government agencies.
- Monitor renewal of business permits, licenses, and government registrations.
- Ensure compliance with applicable Philippine labor laws and statutory benefit remittances.
III. Minimum Qualifications
- Bachelor's degree in Accountancy, Business Administration, Financial Management, or any related field.
- Fresh graduates are encouraged to apply; no prior work experience required.
- Basic knowledge of accounting principles and bookkeeping practices.
- Proficient in Microsoft Office applications (Excel, Word, Outlook).
- Strong attention to detail, accuracy, and organizational skills.
- Able to handle confidential information with discretion.
- Good communication skills in both Filipino and English.
- Can work independently and collaboratively under minimal supervision.
IV. Preferred Qualifications
- Prior internship or on-the-job training in accounting, admin, or HR functions.
- Familiarity with BIR e-filing systems (eFPS or eBIRForms).
- Knowledge of Philippine labor laws and government-mandated benefits.
- Experience with accounting software such as QuickBooks, Xero, or similar platforms.
- Basic understanding of freight forwarding or logistics industry operations.
