Job summary

The Workplace Administrator at Oranga Tamariki Tauranga East supports the Tauranga East site with a wide range of administrative duties across a busy frontline team. You will coordinate reception, telephony, records, travel and financial tasks, ensuring smooth site operations and high-quality service to tamariki, rangatahi and whānau.

You are highly organised, proactive and capable of building effective relationships with stakeholders, while maintaining accurate records in CYRAS and other

Qualifications

  • Proven experience providing administrative support.
  • Strong Microsoft Office skills (Word, Outlook, Excel, PowerPoint).
  • Excellent written and verbal communication with attention to detail.
  • Ability to prioritise, multitask and meet deadlines.

Responsibilities

  • Provide administrative support across Family Group Conferences, court, assessments and casework workflows.
  • Maintain accurate records in CYRAS and other information systems.
  • Coordinate reception, telephony and visitor management services.
  • Support financial administration, invoicing and reconciliation activities.
  • Coordinate travel, meetings, office supplies and other operational requirements.
  • Support recruitment requests and staff induction processes.
  • Maintain workplace records, filing systems and general admin functions.
  • Assist with fleet, property and asset management activities.
  • Provide high-level administrative assistance to site managers.

Mō te ūunga | About the role

The Workplace Administrator plays a critical role in supporting the Tauranga East site and provides flexible administrative support across the wider team. The position is varied, fast-paced and offers the opportunity to utilise both your coordination and administrative skills.

Key responsibilities include assisting with the following:

  • Providing administrative assistance for Family Group Conferences (FGC), Court, assessments, casework, financial requests and referral processes
  • Maintaining accurate records through CYRAS and other information systems
  • Coordinating reception, telephony and visitor management services
  • Supporting financial administration, invoicing and reconciliation activities
  • Coordinating travel, meetings, office supplies and other operational requirements
  • Supporting recruitment requests and staff induction processes
  • Maintaining workplace records, filing systems and administrative functions
  • Assisting with fleet, property and asset management activities
  • Supporting workplace managers with a high level of administrative assistance
  • Helping maintain effective systems and processes that support site operations

You will bring:

  • Proven experience providing administrative support
  • Intermediate digital skills across the Microsoft Office suite including Word, Outlook, Excel and PowerPoint
  • Strong organisational skills with the ability to prioritise work and meet deadlines
  • Excellent written and verbal communication skills with strong attention to detail
  • Proven ability to build effective working relationships across a range of stakeholders
  • A proactive and solutions-focused approach to work
  • Strong initiative, adaptability and the ability to manage varied responsibilities
  • Experience with financial administration, invoicing and record management
  • A collaborative team-focused approach and commitment to continuous improvement
  • A clean, current full driver's licence and willingness to drive Ministry vehicles
  • Understanding and appreciation of cross-cultural practices particularly knowledge of tikanga Māori, and Pacific peoples' culture
