Keep Service Operations Moving
Are you an organised, dependable and proactive coordinator who enjoys keeping people, jobs and priorities on track? This is a newly created opportunity based in Sockburn, Christchurch, supporting a busy team of field technicians across Canterbury and the wider South Island. Your primary focus will be coordinating the Christchurch service operation, ensuring technicians have the right information, resources and support to complete their work efficiently.
You will also assist the Auckland team and provide operational support for national servicing requirements when needed. Working closely with the National Service Manager and wider operations team, you will help coordinate technicians, contractors, customers, suppliers and internal workflows.
The business is an established New Zealand provider of industrial and commercial heating, cooling, process and energy equipment and services. Its work includes burners, boilers, pumps, blowers, HVAC systems and associated industrial equipment across a range of sectors.

About the role
Your main responsibility will be coordinating the day‑to‑day service operation for the Christchurch technician team. You will also assist the Auckland team and support wider national operational servicing requirements when required.
Your responsibilities will include:
- Scheduling service calls, maintenance work, inspections, installations and project activities.
- Allocating jobs according to technician skills, experience, availability and location.
- Coordinating field technicians, third‑party contractors and operational resources.
- Managing customer bookings, service updates, quotes and follow‑up communication.
- Monitoring workflow, job progress, outstanding actions and changing priorities.
- Ensuring technicians, customers, contractors and internal teams have the information they need.
- Supporting Auckland and other locations with scheduling, contractor coordination, customer communication and operational administration.
- Assisting with national service requirements as required.
- Preparing quotes and supporting quote follow‑up.
- Following up on outstanding customer debt and assisting with related administration.
- Monitoring service delivery outcomes and outstanding work.
- Preparing operational reports and tracking key performance indicators.
- Coordinating maintenance and project activities.
- Monitoring stock levels, procurement requirements and job‑related resources.
- Assisting with stocktakes and maintaining internal stock control.
- Supporting health and safety planning, compliance, documentation and reporting.
- Maintaining accurate records and document control.
- Identifying operational risks that may affect service delivery.
- Escalating issues and supporting practical solutions.
- Acting as the main operational contact in the Sockburn office.
- Opening and closing the office when required as an authorised keyholder.
You will need to be comfortable managing interruptions, changing priorities and multiple moving parts while remaining calm, organised and solutions‑focused.
What we're looking for
The successful applicant will ideally have:
- Experience in service coordination, operations coordination, scheduling or a similar role.
- Experience supporting technicians, contractors or mobile field‑based teams.
- A background in mechanical, engineering, maintenance, industrial service or technical environments.
- Strong planning, organisation, scheduling and prioritisation skills.
- The ability to coordinate competing Christchurch, Auckland and national service requirements.
- Confidence allocating jobs and resources according to technical capability and availability.
- Strong customer service, communication and stakeholder management skills.Confidence making calls and following up outstanding actions.
- Intermediate‑to‑advanced Excel skills.
- Good working knowledge of Microsoft Office and business systems.
- The ability to prepare reports, monitor workflows and track performance information.
- Strong written and verbal English communication skills.
- A sound understanding of workplace health and safety, compliance and document control.
- A mature, dependable and professional approach.
- The ability to work independently, use initiative and remain calm when priorities change.
- Relevant qualifications or technical knowledge, which would be advantageous.
- A full New Zealand driver licence, which is preferred.
The person we're looking for

You may come from a service administration, scheduling, operations coordination, engineering support, maintenance coordination or technical office background. You do not need to be a qualified tradesperson, but you should be comfortable working around technicians, contractors, technical equipment and service requirements.
