We support the health system perform more effectively, equitably, and efficiently - reducing harm, saving lives, and improving access to care while ensuring every voice matters.Join us as we partner with clinicians, health providers, whanau and consumers to improve health and disability support services across New Zealand.The roleWe are looking for an experienced Senior Executive Assistant to provide high-quality executive and administrative support to our Chief Executive and Board.This is a trusted and varied role requiring exceptional organisation, judgement and discretion. You'll manage a complex executive diary, coordinate correspondence, meetings and travel, prepare agendas and papers, and support the Chief Executive to effectively manage competing priorities.You'll also provide secretarial support to the Board and Board Chair, including coordinating Board meetings and papers, minute taking, travel arrangements, communications and processing expenses.You will build strong relationships across the organisation and wider health sector and contribute to improving administrative processes and ways of working.What you'll bringExceptional organisation, forward planning and diary management skills.Strong written and verbal communication skills, with excellent attention to detail.Quick learner with a collaborative and proactive approach.Confidence managing competing priorities and adapting quickly when priorities change.Sound judgement, discretion and a high level of integrity when handling sensitive and confidential information.Strong relationship management skills and the ability to work effectively with senior leaders, Board members and internal and external stakeholders.Strong event and project management skills, with a proven ability to deliver within tight deadlines.Ability to work independently, show initiative and take ownership of your work.To be successful in this role, you must have:2 years proven Executive Assistant experience supporting a Deputy Chief Executive, Chief Executive and/or Board Chair.Must have at least 1 years' experience working in the New Zealand public service or health sector.Strong experience coordinating senior-level meetings, agendas, papers and taking accurate minutes.Strong knowledge and understanding of the health care system in New Zealand.The ability to work with a high degree of confidentiality, professionalism and discretion.Highly proficient in Microsoft office, and proven experience working across a number of IT systems.Proven experience building and maintaining strong, trusted relationships with key stakeholders.Experience using a Board management platform such as Stellar Library would be advantageous.Experience with booking international and domestic travel.Demonstrated knowledge and understanding of Te Tiriti o Waitangi.This is a great opportunity for an experienced Senior EA who thrives on being one step ahead and enjoys providing trusted, high-quality support at an executive and governance level.How to applyPlease submit your CV and cover letter via the Seek portal today.For more information, email people@hqsc.govt.nz.Applications close 20 October 2026Salary band and range: 16 $87,514 - 106,047.00Please note, we are currently not accepting agency help with this advertisement.
