Te Papa in Wellington seeks an Executive Assistant to the Deputy Chief Executive, Audience & Experience. You’ll provide confidential executive support, coordinate governance activities and help deliver key priorities through structured planning and proactive coordination.

Working with the DCE and the Senior Leadership Team, you’ll manage calendars, prepare reports, track actions and drive efficiency across the directorate, ensuring initiatives progress smoothly.

Qualifications

  • Experience providing executive support to a senior leader or leadership team in a complex environment.
  • Strong organisational, coordination and relationship management skills, with the ability to manage multiple priorities and deadlines.
  • Experience supporting governance processes, including meeting coordination, agenda preparation, minute-taking and action tracking.
  • Excellent written communication skills and the ability to prepare high-quality reports, presentations, briefings and internal communications.
  • Experience coordinating projects, work programmes or strategic initiatives and monitoring progress against agreed outcomes.
  • Strong problem-solving skills, sound judgement and a high level of professionalism, including the ability to manage confidential information.
  • Advanced Microsoft 365 skills and confidence using a range of business systems.
  • Experience with governance platforms such as Diligent and financial or travel management systems would be advantageous.

Responsibilities

  • Coordinate priorities for the Deputy Chief Executive and Senior Leadership Team and support decision-making.
  • Provide governance coordination, including meeting logistics, minute-taking and action tracking.
  • Support business management and strategic delivery activities to progress key initiatives.
  • Prepare high-quality reports, presentations and internal communications for review by senior leaders.
  • Monitor progress against agreed outcomes and manage confidential information with discretion.
