Job summary

Urban Homes Waikato and Franchisor are seeking an experienced Senior Executive Assistant to work directly with the Managing Director. This high-impact role supports national growth, requiring calm, organized handling of sensitive information and a proactive, professional approach.

You will coordinate calendars, prepare board papers, liaise with leadership, franchisees and external partners, and drive efficient workflows across the Urban Homes Franchisor network.

Responsibilities

  • Proactively managing the Managing Director's email, calendar and priorities
  • Anticipating upcoming requirements and ensuring the MD is well prepared for meetings and key events
  • Acting as the communication hub between the MD, leadership team, staff, franchisees and external stakeholders
  • Coordinating business-wide projects and initiatives
  • Preparing agendas, reports and board papers
  • Recording accurate minutes and tracking actions through to completion
  • Providing timely, professional support to Urban Homes Franchisor and its network
  • Coordinating marketing activity between Urban Homes, franchisees and our external marketing agency
  • Reviewing systems, procedures and workflows and identifying opportunities to improve efficiency
  • Organising leadership meetings, conferences, training sessions and company events

As we prepare to expand our franchise network across New Zealand, we’re looking for an experienced Senior Executive Assistant to work directly with our Managing Director. This is a high-impact role that will play an integral part in supporting our national growth, suited to someone who thrives on variety, brings natural structure to a busy environment and takes genuine pride in keeping things moving.

Salary range: $100,000–$120,000 per annum, depending on experience.

The Role
This role is about far more than administration. You'll be the operational right hand to the Managing Director, managing priorities, ensuring follow-through, and helping the business run at a consistently high standard.

You’ll work across both Urban Homes Waikato and Urban Homes Franchisor, acting as the connective tissue between the Managing Director, the senior leadership team, the franchisees, and external stakeholders. When things are moving fast, you’ll be the person who makes sure nothing falls through the cracks.

Your days will be varied. One day you might be preparing board papers or coordinating a leadership meeting. The next you might be supporting a franchise communication, reviewing a business process, or ensuring a marketing deliverable stays on track. What stays constant is the expectation of professionalism, follow-through and good judgement.
