About This Role
We are looking for an organised, proactive, and customer-focused Programme Coordinator to join the Technology Operations team within Digital & Technology. This role provides timely coordination and administrative support across programme and project governance, financial processes, licensing activity, onboarding and offboarding, and a range of team support activities.
You will play an important part in keeping information, processes, meetings, records, and actions well organised so that Digital & Technology managers and teams can make good decisions and deliver services effectively. This is a varied role where attention to detail, sound judgement, strong communication, and the ability to manage competing priorities will be key to success.
What You'll Do
- * Assist with financial administration, including purchase orders, receipting, invoice allocation, software licence compliance, and renewals.
- * Support month-end and year-end financial processes by working with managers and the Finance Business Partner.
- * Coordinate staff onboarding and offboarding activities, including security clearances and equipment requests.
- * Maintain programme and project documentation, including reports, schedules, plans, risk and issue registers, budget records, databases, and related information.
- * Provide coordination support for IT housekeeping, remediation activity, audits, programme controls, and other quality assurance activities.
- * Coordinate governance meetings, prepare documentation, take minutes, track actions, and support effective decision-making.
- * Build strong relationships with managers, staff, suppliers, and stakeholders across Digital & Technology.
What You'll Bring
- * Experience providing project, programme, team, or management coordination and administrative support.
- * Strong organisational skills and the ability to manage multiple priorities, deadlines, and workstreams accurately.
- * Clear communication skills and confidence working with a range of internal and external stakeholders.
- * Good problem-solving skills, initiative, and the ability to work both independently and collaboratively.
- * Strong capability using Microsoft Office applications, including Outlook, Word, Excel, and Visio.
- * An interest in learning new software, systems, and business processes.
- * Experience with Oracle Financials, purchase orders, and goods receipting would be advantageous.
- * An understanding of, or willingness to grow capability in, te ao Māori, te Tiriti o Waitangi, te reo Māori, and tikanga Māori in the workplace.

- * Be a New Zealand Citizen or New Zealand Permanent Resident
- * Residing in New Zealand at the time of application
- * Have resided continuously in New Zealand for the last five years. Any exceptions to this will need to be discussed with recruitment to assess whether you will still be eligible to meet the Organisation's Security Clearance application criteria.
