Whenua Iti Outdoors (WIO) is seeking a Programme Administrator to support day-to-day programme administration, information management and customer service across primary, secondary, holiday, community, international and professional programmes. You will work with the Education Manager and Coordination team, handling bookings, CRM and related coordination to ensure high-quality delivery.

The Programme Administrator plays an important supporting role in ensuring Whenua Iti Outdoors (WIO) has the day-to-day programme administration, information management and customer service support required to deliver high-quality, safe and impactful programmes. The role provides administrative support across all WIO programmes including primary, secondary, holiday, community, international and professional programmes. The role works closely with, and under the direction of, the Education Manager and the Programme Coordination team, supporting bookings, enrolments, CRM and database administration, and related programme coordination. The role will provide administrative support to other key organisation functions including funding, finance, operations and marketing as required.
Process programme bookings, enrolment forms and related paperwork accurately and within required timeframes
Administer resource bookings, site use and other support tasks accurately and on time
Collect, record and file programme evaluation forms, attendance registers and related documentation correctly
Keep programme coordination systems and shared schedules accurate and up to date to support planning and resourcing
Complete administrative tasks that support programme funding, accountability and reporting requirements accurately and on time
Enter, update and maintain CRM, student, booking and enrolment records accurately and promptly
File, store and retrieve programme-related documents and records in line with organisational systems
Regularly check information to identify and correct gaps, errors or duplication
Answer general programme enquiries, action or refer them promptly and professionally
Provide clear, accurate and timely information and support to stakeholders in a manner that reflects WIO's values
Strong administration and support experience, preferably in an education, community or service-based setting
Excellent administrative, organisation and record-keeping skills
Experience working with CRM, database or student management systems
Good IT skills and a willingness to learn new systems
Excellent written and verbal communication skills
Ability to manage multiple tasks and adapt to a changing and dynamic environment
Strong attention to detail and commitment to accuracy
Ability to work well under time pressure while maintaining professionalism and care
Understanding of confidentiality, privacy and sensitive information management
Commitment to Te Tiriti o Waitangi and bicultural practice
