Job summary

AJJ Healthcare is seeking a Logistics & Supply Chain Coordinator to oversee procurement, warehouse operations, and shipping administration in Queenstown, NZ. You will coordinate orders, manage stock levels, and liaise with suppliers to ensure timely deliveries.

Responsibilities

• Ensure customer/partner requests are serviced timely and with quality.
• Prepare and process purchase orders and related documents.
• Arrange logistics for delivery to meet the sales schedule.
• Stock-in goods received and track shipments.
• Coordinate with transporters for inbound/outbound shipments.
• Maintain records of shipping transactions for payments.
• Provide daily status updates on procurement and shipments.
• Request quotations and update system prices.
• Assist in evaluating equipment for purchase.
• Negotiate with suppliers and seek process improvements.
• Oversee warehouse operations: receiving, put-away, picking, issuing, and transport.
• Resolve discrepancies on delivered equipment/materials.
• Gather and distribute records related to receiving, storage and control.
• Pick goods from store with occasional repacking.
• Monitor stock levels and initiate re-orders as needed.

By overseeing logistics, procurement, and warehouse operations, this position plays a vital role in maintaining accurate records, coordinating shipments, and managing inventory levels. The responsibilities of this role are essential for sustaining operational efficiency, supporting financial processes, and fostering strong relationships with suppliers and internal stakeholders. Ultimately, the effectiveness of this role significantly contributes to the overall success and growth of the company.

Roles & Responsibilities

• Ensure requests from various customers and partners are serviced in a quality and timely manner at the right place.

• Prepare and process purchase orders and documents to ensure proper record-keeping and filing.

• Arrange proper logistics for the delivery of goods to meet the sales schedule.

• Stock-in the goods received.

• Track and verify the accuracy of inbound and outbound shipping documents.

• Coordinate with transportation and freight forwarders for incoming and outgoing shipments.

• Maintain proper record-keeping and filing of shipping transactions for the Finance Department to process payments to suppliers.

• Provide daily status updates on all procurement statuses and shipments.

• Request quotations and update system prices.

• Assist in analyzing and evaluating equipment for purchase.

• Assist in negotiating with suppliers.

• Continuously improve and innovate existing processes to enhance work efficiency.

• Work with internal users on invoice verification and PO request information.

• Coordinate work between suppliers and technical personnel for the scope of supply.

• Propose recommendations for vendors and evaluate vendor performances.

• Manage all warehouse operations to ensure receiving, inspection, put away, picking, issuance, and transportation are in order.

• Resolve any discrepancies found on delivered equipment and materials upon receiving.

• Ensure proper gathering and distribution of all records, forms, and reports related to the receiving, storage, movement, and control of equipment/materials.

• Picking of goods from store with occasional repacking of goods

• Monitor stock levels daily to prevent stockouts and initiate re-orders when required.
