MDIS Singapore is seeking an adaptable Administrative & Operations Assistant to provide comprehensive support across multiple departments. You will assist with data entry, documentation, filing, and ensuring smooth day-to-day operations for academic, student, corporate, and institute-wide activities.
Ideal candidates hold a Diploma or equivalent, with strong Microsoft Office skills, and the ability to manage multiple tasks in a dynamic environment.
To provide flexible administrative, operational and functional support to the assigned department and contribute to the smooth delivery of MDIS Singapore’s academic, student, corporate, administrative and institute-wide operations.
Provide general administrative and operational support to the assigned department.
Assist with data entry, documentation, filing, record maintenance, report preparation and other administrative processes.
Support the processing of forms, claims, invoices, quotations, correspondence and other departmental documentation where required.
Maintain accurate and organised records, databases and departmental files.
Assist with office administration, inventory, supplies and other day-to-day operational matters.
Provide support to various functional areas, including but not limited to Corporate Services, Human Resources, Finance, Information Technology, Facilities, Student Services, Academic Administration, Marketing, Events, Career Services and other departments as assigned.
Assist with departmental projects, processes and activities in accordance with established policies and procedures.
Coordinate and follow up with internal departments, students, staff, vendors, service providers and other external stakeholders where required.
Provide administrative and operational assistance to supervisors and management on assigned matters.
Provide general administrative and service support to students, staff, visitors and other stakeholders.
Respond to routine enquiries and provide appropriate information or refer matters to the relevant department or personnel.
Assist with reception, registration, front-line service, appointment coordination or other support functions where required.
Support student engagement, staff activities and other departmental initiatives as assigned.
Assist with the administration and coordination of academic programmes, classes, assessments, examinations, timetables and related activities where applicable.
Support the preparation and maintenance of student, academic and programme-related records.
Assist with coordination and communication between students, lecturers, academic staff, partner institutions and relevant departments.
Provide administrative support for academic meetings, workshops, panels and other programme-related activities.
Assist in the planning, preparation and execution of MDIS events, workshops, talks, career programmes, student activities, graduation ceremonies and other institutional activities.
Support event logistics, registration, venue preparation, materials, publicity and on-site coordination.
Assist with student interest groups, sports activities, alumni engagement and other student engagement initiatives where required.
Provide administrative and operational support for cross-departmental and institute-wide projects.
Assist with general corporate and office services activities, including facilities coordination, office administration, supplies, inventory and related operational requirements.
Support coordination with vendors, contractors, service providers and other external parties where required.
Assist with meeting room, event venue and other facilities-related arrangements.
Provide general support to ensure the smooth functioning of departmental and corporate operations.
Assist supervisors and management with projects, reports, coordination and other assignments as required.
Maintain confidentiality and handle institutional, staff and student information responsibly.
Comply with MDIS policies, procedures, service standards and operational requirements.
Perform any other duties as assigned by the Head of Department or designated supervisor.
Minimum Diploma or equivalent qualification in any discipline. Relevant qualifications will be an advantage depending on the assigned function.
Relevant experience in administration, customer service, education, corporate services, operations, events or other related areas will be an advantage.
Able to undertake part-time assignments in any department within MDIS Singapore, based on operational requirements and the nature of the assigned duties.
Willing and able to support different functional areas, including administrative, academic, student services, corporate services, facilities, events and other departmental functions as assigned.
Proficient in Microsoft Office applications, particularly Word, Excel and PowerPoint.
Good organisational and administrative skills, with strong attention to detail and accuracy.
Good communication and interpersonal skills with a service-oriented approach.
Good command of spoken and written English.
Able to manage multiple tasks and priorities in a dynamic working environment.
Able to work independently as well as collaboratively in a team.
Willing to work on an hourly-paid, part-time basis according to operational requirements, including evenings or weekends where required.
