Te Taiwhenua o Te Whanganui ā Orotu is seeking an Operations Coordinator to provide day-to-day operational and administrative support across finance, HR, systems, compliance and administration. You will manage invoices, accounts payable/receivable, purchasing, HR admin including recruitment and onboarding, and maintain accurate records.

Te Taiwhenua o Te Whanganui Ā Orotu is an incorporated society based in Te Matau a Māui, Hawkes Bay. Throughout history, Te Whanganui ā Orotu was highly prized for its enormous mahinga kai, food sources and its access to major river systems and forest areas. Following a significant period of organisational growth and with a strong focus on strengthening our internal systems and operational capability, we are currently seeking a reliable and detail-focused Operations Coordinator to join our team.
This is an important coordination role that provides day-to-day support across finance, HR, systems, compliance, and administration. You will keep our operational processes running smoothly, ensure information is accurate and up to date, and provide dependable support that enables our teams to focus on delivering positive outcomes for whānau and communities.
With a primary focus on accounts administration, this role provides day-to-day administrative and coordination support for the organisational corporate services functions.
This role supports finance operations through invoice processing, accounts payable and receivable administration, reconciliations, purchasing administration, and accurate financial record keeping.
The role provides administration support across a range of business functions including HR administration, recruitment coordination, onboarding, compliance, systems administration, IT coordination, office management, document control, reporting and general operational support.
Working closely with the Shared Services Lead and wider team, the Operations Coordinator helps ensure organisational processes run smoothly and efficiently.
Key responsibilities include:
Providing day-to-day operational and administrative support across the organisation.
Processing invoices and supporting accounts payable, accounts receivable, reconciliations and financial record administration.
Assisting with purchasing administration, supplier enquiries and routine financial administration tasks.
Coordinating HR administration, including recruitment support, onboarding documentation, employee records, and training administration.
Maintaining accurate organisational records, databases, filing systems, and document control processes.
Assisting with compliance administration, reporting preparation and operational documentation.
Supporting office management activities, facilities coordination, and general business support requirements.
Providing reliable administrative support to leaders and kaimahi and helping ensure information is accurate, timely and well organised.
To be successful in this role, you will bring:
Experience in administration, finance administration, accounts support, business support, or a similar coordination role.
Experience processing invoices, reconciling accounts, and maintaining accurate financial records.
Strong organisational skills with the ability to manage multiple priorities.
Excellent attention to detail and a commitment to accuracy.
Confidence using accounting software, business systems, digital tools, and Microsoft Office applications.
Strong communication and relationship-building skills.
The ability to maintain confidentiality and handle sensitive information appropriately.
A proactive, reliable and team orientated approach with a willingness to support across a broad range of business functions.
Experience working in community, Māori, social services, not-for-profit, or kaupapa-driven organisations is advantageous.
