G.J. Gardner Homes is seeking a capable Office Administrator in Hamilton to support the Director and keep the office running smoothly.
You'll handle financial tasks in Xero, payroll support, contractor onboarding and front‑of‑house customer service, delivering a great experience for customers and trades.
We value organised, proactive people who enjoy variety and learning new systems; training is available for the right attitude.
Love being organised, keeping things running smoothly and being the person everyone relies on?
We\'re looking for a capable, friendly and proactive Office Administrator to join the team at G.J. Gardner Homes.
This is much more than a traditional administration role. You\'ll be at the heart of a busy residential building business, supporting the Director, keeping our office organised, helping manage financial and compliance processes, and ensuring our customers and contractors have a great experience.
We\'re after someone who enjoys variety, takes ownership and isn\'t afraid to learn new systems or get stuck into whatever needs doing.
No two days will be quite the same! Your responsibilities will include:
Supporting the Director: Providing practical administrative and operational support, following up on actions and helping keep priorities on track.
Customer service: Being the welcoming face of the business, greeting customers, answering enquiries and providing a professional front-of-house experience.
Office administration: Keeping the day-to-day office running smoothly, managing documentation, correspondence and general administration.
Financial administration: Entering invoices, expenses and other financial information into Xero, assisting with reconciliations and maintaining accurate records.
Payroll support: Coordinating timesheets, payroll information and ensuring employees are paid accurately and on time.
Health & safety: Helping maintain H\&S documentation, monitoring compliance requirements and ensuring established safety procedures and plans are followed.
Contractor onboarding: Coordinating contractor documentation, inductions, insurance and compliance requirements before work commences.
Systems administration: Becoming our go-to person for internal business systems, including estimating software, project administration tools and council building consent platforms.
Building compliance: Assisting with documentation, council submissions, inspections and Code Compliance Certificate processes to help ensure projects progress smoothly.
You\'ll be someone who is organised, reliable and comfortable juggling different priorities.
Ideally, you\'ll bring:
A friendly, professional approach to customers, colleagues and contractors.
Previous experience in office administration, operations support or a similar role.
Confidence working with Xero and financial administration.
Experience supporting payroll processes.
Strong computer skills and the ability to quickly learn new software.
Excellent attention to detail and follow-through.
The confidence to follow up with people and ensure things get done.
A practical, common-sense approach to solving problems.
Experience in residential construction, building administration, contractor management or council consent processes would be a real advantage, but isn\'t essential. We\'re happy to train someone with the right attitude and ability to learn.
You\'ll be joining a well-known New Zealand home-building brand in a role where you can genuinely make a difference.
You\'ll have plenty of variety, the opportunity to develop specialist knowledge of construction systems and processes, and the satisfaction of helping a busy team deliver great outcomes for customers.
If you\'re someone who likes being organised, enjoys helping people and takes pride in keeping a business running smoothly, we\'d love to hear from you.
