At BDO, our culture is built on strong relationships, collaboration and trust. As one of the world’s leading accountancy and advisory organisations, we work with clients of all sizes across a wide range of industries. What sets us apart is our partnership-style approach. We focus on what matters to our clients and deliver practical, high-quality solutions through open, honest communication.

About the Role

We're looking for an experienced Office Administrator to join our Queenstown team and help keep our office, client administration and Partner support running smoothly.

This is a varied, hands-on role where you'll be a trusted point of contact for our Partners, people, clients and suppliers. You'll coordinate the day-to-day office environment, provide professional front-of-house support, maintain accurate client information and help deliver seamless meetings, events and onboarding processes.

You'll suit this role if you're organised, proactive and comfortable balancing competing priorities while maintaining a high level of accuracy, professionalism and confidentiality.

Key Responsibilities

  • Manage Partner calendars, appointments, meeting rooms and meeting logistics, including facilities and catering.
  • Provide professional reception support, welcome clients and visitors, manage enquiries, and ensure front-of-house and meeting spaces are well presented.
  • Oversee the smooth day-to-day running of the Queenstown office and act as a key contact for the landlord, building manager and suppliers.
  • Coordinate maintenance requirements, supplier contracts, office expenses and stock levels for stationery, printers and kitchen supplies.
  • Maintain accurate client records and client lists, including Xero Partner Hub, and process new or updated client information.
  • Prepare client onboarding documentation for Partner review, including ethical clearance letters, engagement letters and New Client Acceptance checklists.
  • E-file IRD tax returns, coordinate filing and archiving, and ensure administrative work meets BDO formatting, spelling, grammar and confidentiality requirements.
  • Plan and coordinate internal team events, client events, staff functions and other office projects as required.

Experience and Attributes

You'll be a capable and dependable administrator who enjoys creating order, building effective relationships and delivering a consistently professional experience for clients and colleagues.

You'll likely bring:

  • At least five years of office management or senior administration experience, ideally within professional services.
  • Experience supporting senior leaders or Partners and coordinating a busy office environment.
  • Strong organisational and time-management skills, with the ability to manage multiple priorities and use initiative.
  • Clear written and verbal communication skills, excellent attention to detail and a strong standard of spelling and grammar.
  • Confidence using Microsoft Word, Outlook and Excel, together with general business systems and technology.
  • A professional, adaptable and collaborative approach, with sound judgement and discretion when handling confidential information.
  • Experience with Xero and Xero Practice Manager, event coordination or facilities management would be advantageous.

Why BDO?

At BDO, we'll make your growth our priority. You'll join a close-knit Queenstown team where your contribution will be visible, valued and central to creating a well-run office and a positive experience for our clients and people.

In return, you'll enjoy:

  • A varied role with genuine ownership of day-to-day office coordination.
  • Close working relationships with Partners and colleagues across our four offices within BDO Southern Lakes & Central Otago.
  • The opportunity to contribute to client service, team events and a welcoming office environment.
  • A collaborative, values-led culture built on strong local relationships.
  • Regular social events and employee benefits.

If you're an experienced administrator who takes pride in keeping people, systems and an office running smoothly, we'd love to hear from you.

You must currently be based in New Zealand and hold valid New Zealand work rights to be considered for this position. As this is a permanent role, Working Holiday Visa holders will not be considered.
